How to generate a "Transactions by Account" report for a sales tax liability GL account that shows the billed amount?

How can I generate a "Transactions by Account" report for a sales tax liability GL account that shows the billed amount that is associated with it? For example, I need to recalculate the sales tax percentages for a number of bills for a month period but in order to do so I have to drill down into the transaction to see the billed amount that is associated with the tax liability. I'm trying to avoid having to drill down into each bill. I have around 1,000 I have to recalculate each month. Just looking for a way to save some time.

I can help you with generating the report that you need, @Twhite1028.

 

You can run the Sales Tax Liability report to see the sales tax you’ve collected and owe to your tax agencies. After generating the report, you can click on the amounts to have the Custom Transaction Detail report. This one lists individual transactions, showing each account involved in a transaction on a separate line.

 

To run the Sales Tax Liability report:

 

  1. Go to the Report menu and then hover to Vendors & Payables
  2. Click to generate the Sales Tax Liability report.
  3. Set the filters of your report as the date and report basis. 
  4. Once you're done, click on the amounts in your report to generate the Custom Transaction Detail Report

I do not see that report in my Vendors and Payables reports drop down. See attachment for reference. What do I do from here?

Thanks for the reply and for the screenshot. Let me further assist you with the sales tax.

 

The reason why the Sales Tax Liability report isn't showing on your end is that you haven't set up the sales tax yet. Please check this article for the detailed steps on how to set up, collect, and pay your sales taxes: Set up sales tax in QuickBooks Desktop.

 

Once done, you'll want to manually edit each transaction so you can associate the right tax.

 

In the meantime, you can pull up a report to see the total sales for a specific period. Then, you can manually calculate the sales taxes you owed. From the Reports menu, pull up the Sales by Customer Detail from the Sales tab if you want the transactions by customer, or Transaction Detail by Account from the Accountant & Taxes if you want them grouped by accounts.

Unfortunately you can't. There is no detail report in QuickBooks that will show you both the taxable amount and the tax per transaction. You can get one or the other by double-clicking on summary numbers on the Sales Tax Liability report, but not both together.

I assume you mean sales invoices, not bills, as bills don't include sales tax in the US version of QuickBooks.  It's an odd case.  Normally, sales tax will calculate correctly on invoices with no need to go back and fix them, which is probably why there's no easy way to do what you need to do. Why do you have to correct invoices in this way?

 

Also, it seems you didn't have the QuickBooks sales tax feature turned on when you posted your question, which is somewhat confusing given your question.
