How to hide checking account balance from report

I have a secondary checking account that I transfer money into as I pay off Purchase Orders to our main supplier. Since it's not considered an asset, I need to not show it as such when running a Balance Sheet report. How can I hide or remove it from the report?

How to hide checking account balance from report

Hi @Aida Corp

Thanks for visiting the Community today. You can temporarily remove an active and deleted zero-balance account in QuickBooks Online. I'll show you how:

  1. Open the Balance Sheet report, then select Customize at the top left.
  2. Scroll down to Rows/Columns, then set Show non-zero or active only rows to non-zero.
  3. Select Run Report.

You can check out this article to learn more about this process: Remove deleted accounts from reports

For future reference, visit the QuickBooks Firm of the Future. It helps you learn about the newest features in QuickBooks Online reports that bring better customization and navigation.

Let me know how it goes by sending your reply below. I’d be delighted to help you again with your next post.

This account holds a balance at all times. I wanted to change the type of account, but it needs to be able to show a transfer from my main checking account into whatever account I set up (again as a liability, not an asset).

I appreciate your prompt response, Aida Corp. You'll want to record a bank transfer, then hide your checking account.

Here's how:

  1. Select + New, then select Transfer.
  2. Select the bank account that the money is coming from in the Transfer Funds From dropdown, then select the bank account that the money is going to.
  3. Enter the amount being transferred in the Transfer Amount field.
  4. Edit the Date field, then enter a description of the transfer in the Memo field (optional).
  5. Select Save and close to complete the transfer.

See this article for more details: Transfer funds between accounts.

To hide checking account:

  1. In the Settings menu, select Chart of accounts.
  2. Find the checking account you want to remove.
  3. Select the Action drop-down list and click Make inactive

Please take note that you’ll still see inactive accounts and their transactions when you run a report to keep everything accurate. You can follow the steps I provided in my first response to temporarily hide it.

For future reference, you can also check out this article to learn more about different ways of customizing reports in QuickBooks Online.

Feel free to message again if you have additional concerns. I'll be here to assist.

How to hide checking account balance from report

I took your suggestion and just made the account inactive, however now when I run my report for June, the account still shows even though next to it the word 'deleted' is next to it and the dollar amount is added to my bottom line. It's not until I run a report that includes today that it is removed. Is there a way of making the deleted date June 1?

How to hide checking account balance from report

Good morning, @Aida Corp

Thanks for reaching back out to the Community and asking us around question about your Balance Sheet report and a particular account listed in your QuickBooks Online (QBO) product.

The option to change the date of making the account inactive on June 1st isn't available at this time. However, you can send feedback to our Product Developers so they can consider this in the future updates. Here's how:

  1. Go to the Gear (Settings) icon in the top right-hand corner.
  2. Under the "Profile" column, press the Feedback
  3. Share your feedback.
  4. Hit Next when done.
