In QuickBooks, you can only select one product or service per line item in an invoice. Instead, you can add more lines by clicking the Add lines button below the Service Date column so you can enter several products or services in one invoice. 

 

You might also want to use bundles to group your products and services. Here's a quick tutorial for your reference: How to Use Bundles: Grouping Products & Services.

I'm a contractor with a hundred material receipts for 1 week of work. Marking them billable creates one line item each, let alone billable time, equipment and utility charges. This makes for a very messy, and confusing invoice for the customer. If I don.t use the billable feature so I can add up all the materials and just add one line on invoice, it renders the Project function almost useless, and is very time consuming especially when its progress billing. hence why bundles don't work. Am I really the only person running into this problem.

 

I feel like QBO is a hyped up dumbed down more expensive version of the desktop version.

To get the goal of using one line item for several products and services in an invoice, you can use bundle item. Let me show you how to create a bundle item and apply it in an invoice.

 

Here's how to create a bundle item:

  1. Go to Sales, then Products and Services.
  2. Select New button and choose Bundle.
  3. Check the box for "Display bundle components when printing or sending transactions."
  4. Add the product or services in the line items.
  5. Click on Save and close.

Here's how to apply bundle item in the invoice:

 

  1. Go to the Hamburger icon and select + New button.
  2. Under the Customers column, select Invoice.
  3. Choose the project name of the customer if you want to track the sales.
  4. In the line items, choose the bundle item you created.
  5. Verify the details.
  6. Hit Save and close.

Not sure you understood the problem. Just like when (in timesheets) you mark time as billable. when I create the invoice, you have the options of bundling the time together under one line item. but there is no option for the billable expenses.

There is no way to group into a single item on the invoice if you made multiple billable items. This will add each billable item it's own line item.

Hi there, Brenda. Let me share some information about handling your expense transactions in QuickBooks Online (QBO).

 

Combining all expenses into one line item is currently unavailable. You need to add the other expense accounts on the next line to track them accordingly.

 

Otherwise, you may create a new account for all of your expenses to use a single line item for your transaction.

 

  1. Click on Accounting at the left pane, then tap on Chart of Accounts.
  2. Select New.
  3. Fill in the account details, then hit on the Save and Close button.

Having same issues here! The bundle feature doesnt really make sense, cause of the quantity and "products and services" added. And it changes for every job.

I understand that having the option to add several products and services to one line item will be beneficial for you. Yet, it isn't an option in QuickBooks Online.

Another Contractor here really wishes you could bundle "billable expenses" onto one line of an invoice. This is not about bundling "several products/services" but the ability to put together all the bills we mark as billable on one line of an invoice so that the invoice is clear and legible to our clients!

I would also like to have this ability for billable expenses when creating invoices. Same as you and the other users, I want the transaction to be clear and easy to understand for the clients.

 

Unfortunately, the feature is unavailable yet in QuickBooks. It's a great feature that would benefit most users using our product.

 

As we assess this, I recommend sending your feedback to our product engineers. They continue to improve the program based on user feedback.

 

Here's how:

 

  1. Click the Gear icon in the upper-right corner.
  2. Select Feedback under Profile.
  3. Share your feedback.
  4. Hit Next to submit.

What version of online quickbooks allows you to use the bundle feature?  I am looking at the most inexpensive, I'm a 1 gal business.  No employees.

I would like to know how you can bundle billable time in one line but yet show what time is being bundled but not to the customer.  Can someone help me with this.

Let me help you with your bundle billable time concern, kdy1.

 

If you need an invoice for time and expenses (but you don’t want the customer), then we can add billable time or billable expenses to a bundle item in QuickBooks Online (QBO). The details won’t show on your customer end. Just make sure the “Show Items table on expense and purchase forms” as well as “Track expenses and items by customer” and “Make expenses and items billable” are all enabled. Here's how:

 

  1. Go to the Gear icon.
  2. Choose Account and Settings.
  3. Choose Expenditures/Expenses and make sure the “Show Items table on expense and purchase forms” as well as “Track expenses and items by customer” and “Make expenses and items billable” all enabled.
  4. Press Done

 

 

 

After that, make your bundle item and add any item(s) to it. It makes no difference which or how many. When we add billable time or billable expenses to the invoice, we'll delete them. The item I made for this post has only one component:

Once you have the preferences set and the bundle item created, we can create the invoice, then we can add billable time or billable expenses to it. Add the bundle item to the invoice, then add the billable time and billable expenses from the drawer, one at a time. After you’ve added it, you can drag/drop it “into” the bundle item.

 

When you finish adding and moving all the billable time, delete the placeholder line within the bundle item. When you’re done, the invoice recipient won’t see the details.

 

We can also open the invoice click Customize and select edit the Current. From there, tap Content and choose Table. Hit the Show more activity options link and select Collapse activity rows. See the screenshots for your reference:

Wow, how has this not been solved, yet?! For users that do T&M projects with several vendor bills and expense transactions per job, this is a much needed feature! 

Using bundles on invoices does NOT solve the issue...

I can see the benefit of consolidating multiple products and services into a single line item on invoices, especially for users handling time and materials projects with multiple vendor bills and expense transactions per job, RubiconBooks. However, this feature isn't yet available in QuickBooks Online (QBO). With this, I'll encourage you to send feedback or product recommendations to help improve your experience using the platform.

 

Here's how:

 

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next.
  5. Follow the on-screen instructions to complete the process.

Currently, QBDT does not have a built-in feature to add multiple products and services with multiple vendors on a single bill or expense. Each bill or expense entry in QBDT is associated with a single vendor and can only include one product or service.

 

I understand that this feature would be beneficial for your business. I encourage you to send your feedback directly to the QuickBooks support team or through the QuickBooks Community forum. This will help the development team understand the needs of users like yourself and potentially consider implementing such a feature in future updates.

 

 

Here's how:

 

  1. Go to the Help menu and then select Send Feedback Online.
  2. Choose Product Suggestion.
  3. Add the type of feedback.
  4. Type in your feature suggestion.
  5. Once done, click Send Feedback.

 

In the meantime, I recommend continuing with the current method of entering bills and expenses in QBDT, which involves creating separate entries for each product or service and associating them with the respective vendors.

This is a real problem for my business also. 
I work in consulting that requires me to log in and out of different customers systems during the day so I may have multiple time entries to a single customer in a day. Not being able to combine billable time entries into a single line item (other than the bundling method which is going to be very manual and messy). 
Not looking forward to a monthly invoice to a customer with 60 different line items all are different time entries!

You can group time that is in the drawer by choosing either "group time by services" or "don't group time". Once you have pulled your drawer items into the invoice you can no longer chose wether to group or not without deleting the invoice and starting back over. the problem is you cannot group any of your other expences. and as a construction contractor I generally group my time, so that only takes up a couple lines, and then several pages of materials. that is where the problem is.

I was researching the same problem and found the answer on another post.

Here is what to do.

In products/services create a new bundle.  Call it “Materials”.  No need to change any of the default settings.

Create your invoice and add this as the first line item.  This creates a space below this line and above line 2.

Add in expense.  Hold your cursor over the four dots one the left side of this line.  Click and drag the line into the space under line 1.  Continue for the rest of your materials.  The item amounts will be totalled and appear as one line on the invoice.
