How to record a short-payment against an invoice that is already closed which has in turn shorted an open invoice?

Let me help you record the short-payment against an invoice, JS2017.

 

To handle a customer you can’t collect money on, just write off unpaid invoices. Then, declare them as bad debt in QuickBooks Desktop.

 

First, let's add an expense account to track the bad debt.

 

Here's how:

 

  1. Click Lists on the top menu.
  2. Choose Chart of Accounts.
  3. Hit the Account drop-down and select New.
  4. Tick Expense, then Continue.
  5. Enter an Account Name, for example, Bad Debt.
  6. Press the Save and Close button.

Second, we need to close out the unpaid invoices.

 

Here's how:

 

  1. Go to the Customers menu and select Receive Payments.
  2. Enter the name of the customer in the Received from field.
  3. For Payment amount, enter $0.00.
  4. Choose Discounts and credits.
  5. In the Amount of Discount field, enter the amount you'd like to write off.
  6. For Discount Account, enter the account you added in step 1.
  7. Hit Done.
  8. Tick Save and Close.

Then, go to the Accounts Receivable Aging Detail report to stay on top of your customers' open balances.
