I have 2 checking accounts, and for each of them i have a Checkbook AND a Debit Card. I pay a lot of expenses using the Debit Cards and a few using checks.

Good avening, a new user here. Here's an overview of my situation: - i have 2 business checking accounts - for each of them i have a Checkbook AND a Debit Card - when i go to the gas station, walmart, other suppliers, i usually pay using the debit card - when i pay my lease and other major expenses i use the checkbook, or there are other suppliers of goods that ACH the balance from my account. > i scanned 100 receipts using the IOS QB intuit app, some were paid with the Debit Card and some others were ACH and others with a Check. > i linked the Business checking account to QB > i use the Business checking account with the DEBIT CARD and CHECKS = QB doesn't match ANY of the Receipts to the Transactions on the Checking accounts. => I will appreciate your help with this matter. Let me help you match your Receipts to the transactions in QuickBooks. Here's how: 

  1. Navigate to the Transactions/Banking and select Receipts.
  2. From the For Review tab, find the receipt. When you see a record found under the Category field, this means that QuickBooks found a match.
  3. Select the Review option to verify the Linked Record beside Match.
  4. Review and input the needed info, then hit Save and next.
  5. Tick Match.

 

If QuickBooks doesn't see any record of your uploaded receipt, ensure that the date and amount of your receipt are the same as the transactions created.

Thank you. I have 2 questions:

 

1.- all the transactions on my “Checklng bank account” will match a receipt that I will scan, however some of them were paid using a “Debit Card” that is part of the the same checking account. The question is.. is it absolutely necessary to create a “sub account “ on QB linked to the “checkings account” ? Or will the system match the “amount shown on the receipt” to the “transaction on the banks feed” . The banks feed doesn’t differentiate if it’s a check or a debit card purchase, . 

2.- sometimes the “receipts” don’t match the Date with the “banks transaction date “ shown on the statement. Do I need to change something on QB side on the receipt? Or just match manually? Or will QB suggest me there’s a match? Or do I need to find it manually ?

The system will match the transactions as long as they're on the same account in your Bank Feeds. If the debit card's transactions are downloaded in the same checking account, there's no need for you to create a sub-account. The system will use the amount in looking for match.

 

Also, one of the requirements when looking for a match is that transactions should have the same date. You can open the transaction in QuickBooks and edit the date to ensure that the system can match it to a downloaded receipt.
