I work at an equipment rental company. How can I assign income to a customer (customer A is local income, customer B is oil field income, etc)?

I hope you're doing well, amanda-connectro.

I've got a way on how you can do this in QuickBooks Online.

When you create transactions like sales receipt or invoice, you'll have to select the product or service. These items will help you categorize which income account you want them to be posted.

Let's begin by creating an item, or if you have already added one, we can edit them by following these steps:

  1. Go to Sales > Products and services
  2. Click New to add an item, or select the Edit link of the item already added
  3. In the Product/Service Information window, add the product/service details.
  4. From the Income account drop-down menu, select the account where you want to the product/service to be posted.
  5. Click Save and close

Next, create a sales transaction and choose the item from the Product/Service column.

Finally, run the Sales by Product/Service Detail and customize the report to include the Account column.

Here are the steps:

  1. On the left panel, click Reports.
  2. Type Sales by Product/Service Detail in the search field.
  3. Set the Report period and click the Customize button.
  4. Go to the Rows/Columns section.
  5. Put a check mark on the Account box.
  6. Click Run report.

Here's a sample screenshot of what the report would look like:

Good afternoon!  I appreciate your response, however, I need it to be tied to the customer and not the product.  Each piece of equipment could be used in any of our income streams.  For example, an excavator might be rented one week to a local customer but the following week be rented out to a solar farm.  I need for Quickbooks to put the income from each customer type into the correct income stream.

Hello there, @amanda-connectro.

Let me provide some information for putting each customer's income into the appropriate income stream.

You'll need to select an income account when creating your Products and Services. This way, you can associate it with your invoice.

As a workaround, you can either enter the income account in the Notes field on the customer's profile or utilize the Customer type and label it as local or field income. Please note that this is purely for recording purposes. Thus, it won't be linked to the account.

To add Notes:

  1. Select the Sales menu, then click on the Customers tab.
  2. Locate and select the customer name.
  3. Click the Edit button.
  4. Enter the income account in the Notes section.

To add a Customer type:

  1. Select the Sales menu, then click on the Customers tab.
  2. Locate and select the customer name.
  3. Click the Edit button.
  4. Under the Additional Info section, choose a Customer type from the drop-down.
