In January I filed 1099s & QBO sent links to contractors. But in April, one says the link they received by email has expired. How do I resend or refresh the link?

You can send another invitation to the contractor, @joe98.

 

Here's how:

 

  1. Go to Workers from the left menu.
  2. Select Contractors.
  3. Choose the contractor's name.
  4. Click Send a reminder.
  5. Verify the name and click Send

If you don't see the option to resend the invite, it could be that the details of the contractor have been completed. Follow steps 1 to in the Send an invite to existing contractors article, to make the Send a reminder link available again.

 

I'd suggest visiting this website: Prepare and File Federal 1099s Using QuickBooks Online. This link provides you steps on how to e-file your 1099s and what you can do after you e-filed the forms.

I did that but the contractor says what he got was an invitation to provide his W-9 information.  That's not what I want to send.  I have already entered the W-9 info, and filed the 1099 in January.  He received a link to allow him to download his 1099, but in April when he tried it, the link had expired.   What I need to send is not an invitation to provide W-9 info, but a refreshed link to download his 1099.
Evidently there is no way to do that in QBO.  However elsewhere in the QBO help, I did find a link to the Intuit 1099 e-file webpage (https://iop.intuit.com/1099/login) which allows me to see the documents that have been sent and to download them as pdfs.  I did that and sent the 1099 as a PDF attachment to an email.

Its not a good practice to send tax docs via email, so I think Intuit should: 1) Make link sent to contractors last much longer (normally they are not even required to file before April 15, but if they get an extension Oct 15, so it should minimally last that long, but probably best to make it last a year.)  2)  Add a link labelled "Review 1099s already sent"  inside QBO to the Intuit 1099 e-file site. 3)   Add a button with the command to "Resend 1099" next to each document description in the list of 1099s already sent.

Note that this would help with other potential problems like if the contractor changed their email address, or no longer had access to the account to which the 1099 was sent. You would be able to change the contractor's email address then resend the 1099.

It's good to hear that you've found a workaround to download the forms as a PDF, joe98.

 

The invitation that you sent can only be used once. Then, it will expire.

 

Once the invitation expired, they'll have to log in to their QuickBooks account to download the 1099 form. You can share these steps with your contractors:

 

  1. Log in to this page: https://selfemployed.intuit.com/login.
  2. Enter their User ID and Password.
  3. Click the Clients tab.
  4. Select the company name.
  5. Go to the Tax forms tab.

 

On the other hand, I'll take note of your ideas about making the invitation link to last for a year and adding a label for the forms that were sent. Our engineers will review these suggestions and may be added to our future updates.
