In QB desktop we could create and invoice and designate it to be printed later. Then we would go to File Print Forms and select Invoices. Is this possible in QB on line?

I know that I can select invoices to be printed but I don't know which Invoices have been printed and which ones need to be printed even if I select a date range.  How am I to know what invoices I need to select?

In QBO, you can mark invoices to print later. Here's how:

 

  1. Go to the + New button and select Invoice.

  2. Select Manage in the upper-right-hand corner. 
  3. Look for Scheduling and click on it.
  4. Toggle on Print Later.
  5. Hit Save.

To check which invoices have been marked as Print Later, please refer to the steps below:

 

  1. Go to Sales and choose All Sales.

  2. Pick Invoices in the Type dropdown.
  3. From the Delivery Method dropdown, select Print Later.

To view which invoices have been printed and need to be printed, you can visit the Audit Log and manually open the history of the sales form. Here's how:

 

  1. Click the Gear icon and choose Audit Log.

  2. You can utilize the Date Changed dropdown to select a period where you want to check which invoices are printed and need to be printed.
  3. In the Events dropdown, pick All Transactions.
  4. Locate the invoices and tap View to check the history.

  5. In the Audit History window, you can see the status Printed or To Be Printed in the Printed section.

The option to make the Print Later a default to all invoices in QuickBooks Online (QBO) is unavailable, tscheid. Let me guide you in submitting feedback for this helpful request.

 

Since making the Print Later option a default is currently unavailable, I recommend sending feedback for this feature to our Product Developers. They value customer suggestions and will consider adding this in future updates. Your feedback will assist us in prioritizing and enhancing our product.

 

Here's how:

 

  1. Log in to your QBO account.
  2. Click on the Gear icon in the top right corner.
  3. Select Feedback.
  4. In the feedback form, enter a detailed description of your request.
  5. Click on the Next button to submit.

 

In the meantime, be sure to toggle the Print Later button every time you create an invoice to enable this:

 

  1. Go to the + New icon and select Invoice.
  2. Select the Manage option.
  3. Click on Scheduling, then toggle on Print Later.
