Does anyone know how to either

  • Print a report that shows each inventory assembly and the individual components
  • Export the assemblies to Excel

Thanks for reaching out to the Community, @suzmwatson.

 

QuickBooks Desktop (QBDT) has a report that will give you that information. All you need to do is to run the Sales by Item Summary report. Then, filter it to All assembly items or All inventory and assembly items. You can also export this report to Excel.

 

To pull up the report, here's how:

 

  1. In QBDT, go to the  Reports from the top
  2. In the drop-down, choose Sales, then select Sales by Item Summary Report.
  3. Click the Customize button.
  4. In the Display tab, select the appropriate reporting date from the REPORT DATE RANGE section.
  5. Proceed to the Filters tab, then select Item in the FILTER menu.
  6. Pick All assembly items or All inventory and assembly items.
  7. Hit OK to apply the filters.

 

To export the report, just click the Excel option at the top and choose Create New Worksheet in the drop-down.

Thanks for the response. Unfortunately, I need to be able to get to the components for the assembly. I don't see a way to do this from any of the reports in the menu. Am I missing something?

Hi there, suzmwatson. Thanks for following up with the Community.
 

You can pull up a list of each component for an assembly from your item list.
 

Here's how:

  1. In the top menu bar, go to Lists.
  2. Choose Item List.
  3. Find and select your inventory assembly.


You'll now have a list showing all of the parts involved with your assembly.

OK. Obviously, I'm not making myself clear. I need to be able to print the Assembly - Part + Components. I know where they are located and how to look at them. I just need to find a way to print the components for each assembly. If this isn't possible, just let me know.

Allow me to show you how to print a Build of Materials report. It only takes a few easy steps. Here's how: 

 

  1. Go to the Lists menu. 
  2. Choose Item List
  3. Double-click an assembly to edit. 

 

Now, you should see this: 

 

 

Hit Print to generate the Build of Materials report. 

 

That's all there is to it. In addition, here's a guide about customizing reports

I think what you are looking for is an Exploded View, which shows each assembly, along with all of the components in that assembly exploded down as many levels as exist in your company file.  A third party program, called Auto Build Assemblies, creates this Exploded View in an Excel spreadsheet.  It helps you see the big picture.

I know exactly what you are looking for. 

 

You need to export an IFF report. 

You must be in single user mode with admin privileges to export this report. 

It is under file>Export. 

Choose the one that says item. 

 

Once you export it will not allow you to open. 

You need to open a blank excel document and drag your exported file over to the blank doc.

 

Scroll through this report, you will see your assembly items. The format is not great but it gives you something to work with. It sure is a lot faster than clicking through every single assembly and writing it down. 

 

Make sure you save this excel doc as a excel document and not a QB document. 

 

I would love it if the quickbooks team would put together a formal SOP for this but until then you can reply to this comment if you have any questions.

regarding CandaceC's response RE: the print button on the edit item screen for an Assembly from the Item List menu option:

Rather than having to go and do each sheet manually:

  • Is there a report that exists that could do this for all assemblies
  • If not, what is the logic(schema of the SQL joins, temporary view created by item #, etc) behind the button

Any assistance would be appreciated

Being able to run a report showing each assembly, along with all of the components, would be helpful. Rest assured that I'll relay this message to our team in concern here on my end and add your vote for this one. You can also share your thoughts and ideas through your account. Our product development team reviews all the feedback we receive to ensure we’re meeting the needs of our customers.

 

Here's how to send a request:

  1. Go to the Help menu.
  2. Select Send Feedback Online, then choose Product Suggestion.
  3. It opens the QuickBooks Feedback window.
  4. Fill in the form, then click Send Feedback.

 

In the meantime, you can follow the suggestion of KStark above. You'll have to export your item list to IIF. Then, open a blank excel document and drag your exported file over to it.

Do you know how inconvenient this is? Like to have to put every order into excel just so that I can find how many pieces the order has? Why Can't QB make it easy and put it on the bottom of the page like every other freaking program. QBDT is a rip off.
