Is anyone else having issues with their invoice status not updating?

My client said they viewed the invoice and followed the steps for payment, but the invoice in Quickbooks has not updated to reflect the invoice was viewed or paid.

I'd like to ensure that this invoice matter get sorted out for you. Allow me to share some insights on this.

 

When paying the invoice online, it could be that the transaction is still within the lead time of processing the payments. That's why it has not been deposited into your bank account, which is the reason the invoice is not showing as paid.

 

The funds usually reach your bank account within 2-3 business days of the transaction. It varies on the time you enter transactions and on how long it takes the bank to verify and process electronic deposits. Credit card payment deposits take 1 - 2 banking days. Bank transfer (ACH) payment deposits can take 2 - 7 business days.

However, if the money was deposited into your account already and the problem continues, I recommend accessing your account on a private window to see if the status will be changed.

 

The invoice status should look like this once deposited

 

Web-based platforms like QBO gathers cache files (cookies) to save you time when loading repetitive data and images. These files can often become outdated or corrupted, causing issues like the one you've experienced.

 

You can open a Private Window in all supported browsers using the corresponding keyboard shortcut below:

  • Chrome: Ctrl+Shift+N
  • Internet Explorer: Ctrl+Shift+P
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

If everything is working fine, you can now go back to your regular browser and clear its cache. This eliminates unnecessary cache files and refreshes your data.

In QuickBooks Online, there are multiple choices for online delivery formatting for the email sent to your customers: show short summary in email, show full details in email, PDF attached, and Online invoice or Plain text. For tracking when your customers open emails, you'll need the Online invoice option selected. Here's how it's set up.

 

  1. Select the Gear icon at the top right of your account.
  2. Choose Account and Settings.
  3. Click the Sales tab on the left.
  4. Scroll to and open the Online Delivery section.
  5. Choose Online invoice option from the Additional email options for invoices drop-down menu.
  6. Click Save.
  7. Choose Done to exit settings.
