Is there a log of emails I send from QBDT? Help! I need to find a missing email!

Hi everyone, I hope you can help, I'm in a bit of a panic.

I emailed a P&L report that did not arrive in the person's inbox and I suspect I typed the wrong address! Yikes! Not the kind of information I want floating through the internet!

Two-fold question:

1. Is there a log of the emails I send? I see lots of answers about the vendor and customer centers, but not just general emails.

2. Is there a more secure way to send such sensitive information like when I email a paystub and they have to put in a password?

Thank you!!

I appreciate you sharing this with the Community space, @Mrs_Mar. Let me share some information about sent emails and pay stub passwords in QuickBooks Desktop (QBDT).

If you want to check the log of your sent emails, you can access the audit trail report within QBDT. However, this feature is limited to transaction-based forms such as invoices and other sales forms and is unavailable for reports.

As an option, you can add your email address to BCC to have a copy of the reports you sent and to see if you sent them to the correct recipient. You can follow the steps below to set this up in your account.

  1. Go to the Edit menu, then select Preferences.
  2. In the Preferences window, click Send Forms.
  3. Select the Company Preferences tab.
  4. Enter your email address in the BCC box, then click OK to save.

If they still can't receive an email, let them check their spam and junk folders.

On the other hand, QuickBooks automatically generates a password when you send pay stubs to your employees. With this, you'll have to record it manually and provide this information to your employees so they can view and access the pay stub once they receive it. Here's how:

  1. Go to the File menu, then select Switch to Single-user Mode.
  2. Return to the File menu, hover to Print Forms, then select Pay Stubs.
  3. Select the Bank Account you want to use for the payroll.
  4. Enter or set the date range for the pay stubs.
  5. Select the employees you want to email this to.
  6. Click Preview and review each pay stub before sending them, then select Email.
  7. Record the passwords generated, then select OK twice to confirm.
  8. Enter each employee's email address one at a time.
  9. Review this in the Send Forms window and alter the To and From fields, subject line, and the email body.
  10. Once done, select Send Now.

Additionally, you can fix webmail password issues in QuickBooks Desktop. It will help you if QuickBooks won't accept your [password when you use email services.

You're always welcome to comment back if you have other concerns with managing your sent emails and paystub passwords in QuickBooks Desktop. Our team is here to give you the support that you'll need. Have a great day!
