Memorized Reports

Hello,

I am an accountant with many desktop clients. Today when attempting to access memorized reports across many different files, I am getting a message that says 'Your memorized report has been deleted from the memorized reports list.'

If I take the longer step to select 'memorized reports list' I can find my reports there. But I rather them be directly under the memorized reports option within reports.

Any one know what is going on and what I can do?

Memorized Reports

Hi there, Ryan.

Thank you for reaching out to the QuickBooks Community. I understand how vital it is to have quick access to your memorized reports, especially when managing multiple desktop clients. Let's explore what might be causing this issue and how we can resolve it.

The problem you're encountering where memorized reports seem to disappear from the direct access menu but can be found in the Memorized Reports List indicates that there might be a problem with your file location or settings issue within QuickBooks Desktop.

To fix this, you'll need to memorize the same report to save it in a new file to your local drive. This way, a new file location will be determined by your QBDT company file to avoid displaying the error. Here's how:

  1. Open the memorized report using the longer step.
  2. Click Memorize.
  3. You'll be prompted to either replace the memorized report or create a new one. Select New to create a new one.

After that, you'll be able to access the report through the Memorized Report List.

If the problem persists, I recommend verifying and rebuilding your data in QuickBooks Desktop to ensure your QBDT data matches from your saved local file data.

Morever, you can also learn how to export your reports to excel in QuickBooks Desktop to manually modify your report information.

If you have any further questions or need additional assistance, please don’t hesitate to reach out again. We're here to ensure your QuickBooks experience is efficient and effective.

Memorized Reports

We can perform troubleshooting steps to identify data issues that cause the reports to be inaccessible directly from the list, Ryan. This way, we can access your memorized reports easily.

To begin with, we can re-sort your list and return it to its original order. If you have manually changed the order of your list, re-sorting will undo these changes and help us locate your memorized report effortlessly:

  1. Go to the Reports menu and select Memorized Reports.
  2. Choose Memorized Reports List, and select navigate to the Memorized Reports.
  3. Select Re-sort List and select OK.

If the issue persists, let's start performing the Verify Rebuild function. This assists users in maintaining the integrity of their financial data files, including reports. This option is essential when users encounter data issues or suspect data corruption.

Before that, please back up your QuickBooks Desktop (QBDT) company file and update this to the latest release to download the latest fixes available in the application. Then, proceed with the steps below:

Verify Data:

  1. Press the File menu.
  2. Choose Utilities from the drop-down option.
  3. Select Verify Data.
  4. Tap Ok to continue.

Rebuild Data:

  1. Click the File tab at the top.
  2. Select Utilities from the drop-down option.
  3. Choose Rebuild Data.
  4. Click Ok on Rebuild has completed.

To learn more about running reports, you can visit this resource: Understand reports. It contains information to customize, memorize, and schedule reports in the program. An option to export is also available to take your reports out of QuickBooks.

You can always drop a comment if you have additional questions about managing reports, financial data, or other QuickBooks-related topics. Take care!
