My invoices are not reaching my customers inbox

There could be a few reasons why your invoices aren't delivered, bwmkellerwilliam. Let's work together to get to the bottom of this.

At times, email service providers mistakenly flag and block QuickBooks transactions from your outgoing mail allowlist. To rule it out, have your customers check their spam/junk folders.

If the same thing happens, let's resend the forms again. You may also transmit a sample entry to your personal email. Make sure to reenter the correct details. Even a small typo can prevent them from reaching their intended recipient.

Alternatively, your clients can perform some troubleshooting procedures. Start by opening the inbox using a private window or other supported web browsers. It could be that the accumulated site data are preventing them from receiving the emails. These are the shortcut keys:

  • Mozilla Firefox: Ctrl + Shift + P
  • Google Chrome and Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Option + P

If that works, go back to your main browser and then clear its cache and cookies to get rid of the junk files.

My invoices are not reaching my customers inbox

I have the same problem. One recipient receives every invoice and the other (copied in on the same email) receives none. The two recipients are using different email providers to each-other.

This is how I found out: "Hi Phil. You are a couple of months behind in your invoicing, is there any chance that you could please bring this up to date? Thanks. Rod"

My suspicion is that some email providers (eg, Microsoft), treat incoming emails from <[email address removed]> as a potential gift on a plate for spoofers/scammers, so they will be quarantined prior to being delivered to the end user.

The only way I have found of getting around this is by emailing invoices to myself and manually forwarding the pdf, which is unsatisfactory to say the least.

My invoices are not reaching my customers inbox

Hello, Phil. I'm here to help you get past the issue you have with emailing your invoices.

To resolve the problem, you can ask an IT expert to add the QuickBooks Self-Employed (QBSE) mail server host names and IP addresses to your outgoing mail server's allowlist. This will prevent your QB emails from being marked as spam. However, the process of adding the host names and IP addresses can vary depending on your email setup.

For the list of Host Names and IP addresses your IT expert needs to add to your allowlist, you can refer to the "Solution 3: Configure server to accept QuickBooks Online mail server host names and IP addresses" section of this article: Troubleshoot if customers aren't receiving emails from QuickBooks Online.

I'm also attaching an additional article that you can use as a guide: Receive important email messages from Intuit.

If the issue persists, I recommend contacting our support team. This way, they can take a closer look at your account and provide a resolution.

In case you want to add sales tax to an invoice, you can check out this article for more guidance: Manually track sales tax in QuickBooks Self-Employed.
