My project costs are not reflecting accurately

I am new to QB but having multiple issues. 1. I have entered both manual time for hours accrued prior to starting QB and hours entered through QB time app. Some of these hours are reflected in project costs and therefore project profitability but not all. They are all entered by the same employee, same billability, etc... not sure I understand this. 2. Per the item below have entered time and mileage both manually and through WB time app. This has resulted in multiple employees and vehicles for me, even though they should only be one. Not sure how to get this fixed. 3. I have a business expense that is classified and billed to a project but it does not reflect in the project's costs/profitability. I have done all this effort to upload the info for this year but its not populating properly in the metrics which is the whole point of having QB please advise. Thanks

Let's go over a few details to ensure that I have the correct information about the issue. This will help me provide you with the best answer to your question(s). 

 

  • Have you ran payroll for those hours that aren't showing up in QuickBooks Online Projects?
  • Can you clarify what you mean when you say, "Now there are multiple vehicles and employees." Also, where are you seeing this in your account? 
  • When you're in your QuickBooks Online account, where are you looking for this information? Is it in a particular report?

 

After answering these questions, I'll be able to determine the best solution for your business.

Hi Candice, See below for responses.

 

1. No we have not run payroll. At the moment this is a side business for my business partner and myself. We do not have regular payroll. We have not issued ourselves checks yet as we have only been in business since January. The plan is to at some point obviously start paying ourselves for hours worked even if it isn't for the full amount depending on the profitability of the projects. However, for the sake of quickbooks we do want to track our projected profitability if we paid ourselves based on the actual number of hours worked at our full billable rate per projects if that makes sense? As you can see attached there are projects where some of the time is showing up as a cost but not all. These entries were made by the same employee (me) so don't understand that

2. When I go to Time entries I see myself twice. The top one is all the hours I have entered manually through quickbooks online for all hours prior to signing up for quickbooks. The second one is for my time entered through quickbooks time in the app. I guess its not a huge deal but it does look odd. Same issue for vehicle and mileage tracking.

I'm so glad you were able to get back to me with more information about your issue. Allow me to share some light on the subject. 

 

I was able to review your account and I see the two profiles you mentioned. I can speak with my Tier 2 team to merge the two profiles. However, I'll need one of the profiles without any time in it. As of right now, both of them have time tracked. I can walk you through the easy process of removing timesheets from one of those profiles. Here's how: 

 

Note: Ensure to manually add the time entries to the other profile if they need to be kept. 

 

  1. Go to the Time Entries tab on the left-hand menu bar. 
  2. Choose the Timesheets portion of the page. 
  3. Press the Trash can icon and then OK

Once you're done, please let me know so they I can get in touch with my Tier 2 team. I'll be waiting for your response.

My project costs are not reflecting accurately

So that is the thing. I can't manually enter them that way. In quickbooks online to manually enter time there is only ONE profile I can add time to. In quickbooks time there is also only ONE profile I can add time to. I can't add time to the other profile in either account. So I don't know why there are two profiles.

I've been using QuickBooks for over  3 weeks. but I've noticed my expenses or bills does not reflect on my cost for a project. Why is this so????. its becoming a big problem.

My expenses/ bills does not reflect in my cost section for a project on QB. I've tried all that i can , followed the steps but nothing is working.

Thank you for raising your project issue here in the Community, @smart-homes-ng.

 

Let's perform some troubleshooting steps to show the expenses or bills in the Cost section from the Project page.

 

Firstly, let's check if the project name is selected on each bill and expense created. It's one of the possible reasons why the transactions aren't showing on your project. Here's how:

 

  1. Find and open each bill and expense.
  2. On the Bill/Expense page, verify if the project is selected under the Customer/Project column. If nothing is selected, choose the appropriate one.
  3. Click Save and close.

 

However, if the project is selected on each transaction, it's possible that your browser had a data issue. To verify, let's log in to your QuickBooks Online (QBO) account using a private browser. To do so, press this shortcut key on your keyboard:

 

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

 

Once logged in, go back and check if the bills and expenses are showing in the Cost section from the Project page. If this works, it means that you need to clear the browser's cache so the system can start fresh. If you get the same result while using a private browser, I recommend switching to a different one.
