Our petty cash account shows a larger amount in the chart of accounts balances than when we run a QuickReport on the petty cash account. Same with checking. Never saw this before. Holds true whether I run report as accrual or cash basis. When I double click on the chart of accounts balance, it takes me to the petty cash register and shows the lesser amount. The chart of account balances do not seem to be picking up the correct figure. I tried depositing an amount and both balances showed the same increase, but were still off by the same amount as before.
Hi ebcdennis,
I appreciate how you write everything in detail. 20 years of using QuickBooks is amazing. Thank you for being such a loyal customer.
Comparing the transactions in the QuickReport and in the register is the right thing to do. I can tell that you have the experience to troubleshoot cases like this, so you may have probably run the Verify and Rebuild data utilities. Having said that, I will let you contact our QB Desktop Support to check this further using more tools.
If you have other questions in mind, feel free to go back to this thread.
Having this same issue today. Weird. Veteran QB user as well and confused at how the Chart of Accounts does not match my actual register. Did QB Support provide an answer for you? Did running the Utilities file / Rebuild Data task help?
Hi, @cf29.
We appreciate you for choosing QuickBooks. I understand that this has been a challenge for you. Let me help you feel at ease about this issue.
To ensure that the solution provided was a fix to the error, I recommend trying to Verify and Rebuild Data in QuickBooks Desktop on your end.
And make sure to back up your QBDT company file before running verify and rebuild. Because this is a safe point for your accounting data if you run into problems with backup and restoring it.
After that, let's try to re-sort lists in your Chart of Accounts. Performing this will help you fix the odd behavior in your lists. If you're in multi-user mode, ensure to switch to single-user mode before you start re-sorting.
First, we'll need to re-sort the primary name list in QuickBooks for Windows. Here's how:
To locate it from the Find window, you can follow these steps if you don't have banking permission:
And to re-sort it from the General Journal entry window and for Mac, feel free to read this article: Re-sort lists in QuickBooks Desktop.
For future use, if you want to learn how to use File Doctor to fix company file issues, you can read this article: Fix company file and network issues with QuickBooks File Doctor.
Never hesitate to go back to this thread if additional assistance is needed. We'll be willing to exert effort to help you. Take care, and have a blissful week!
Rebuilding the data file solved the problem.
