QBDT: Nonprofit Event Management

I'm using Quickbooks Desktop Enterprise 23.0. Please no QBO replies. Thanks!

 

I'm tryigng to track all income and expenses for an upcoming fundraising event. It seems like Jobs are restricted to a particular customer. Is there a way to set up a project that I can tag all unrestricted income (gifts, pledges, sponsorships, etc) and all expenses related to this event? I don't want to use Class because we use that for our unrestricted, Temporarily restricted and permanently restricted funds.

You're correct, jobs are restricted to a particular customer, Jim. The best way to track your income and expenses for the fundraising event is by using class. 

 

However, since you do not want to use the class tracking feature of the program, you can still use jobs. Just ensure to put a note to the transactions that you will be using to determine from which they came.

 

To get started, create a Customer to link the Jobs we are creating for the income.

 

  1. Go to Customers, and choose Customer Center.
  2. Click the New Customer & Job dropdown.
  3. Choose New Customer.
  4. Fill in the necessary details.

 

Proceed to create a Job. Ensure that you click the newly created customer profile to link the Job. 

 

  1. In the Customer Center, click the New Customer & Job dropdown.
  2. Choose Add Job.
  3. Fill in the necessary details.

 

Then, create a Vendor. We'll be using the vendor for the expense transactions which we will use to link for the Job. 

 

  1. Go to Vendors, and choose Vendor Center.
  2. Click the New Vendor dropdown.
  3. Choose New Vendor.
  4. Fill in the necessary details.

 

Proceed to create customer transactions for the gifts, pledges, and sponsorships you'll receive (income) and vendor transactions for the expenses you will use in the event. Ensure you choose the Job in the Customer:Job column to link the expense to the Job.

 

Additionally, you can customize and export your reports in QuickBooks.
