Quickbooks Desktop Estimates

When I convert an estimate to an invoice, the estimate will only not show as "open" if the invoice is billed out 100%.  There are times when we do not bill out 100% so is there a way to correct this so the estimate will not show as opened?

Automatically closing the estimates is a great functionality, MAUL21.

QuickBooks will only recognize estimates as closed if you've linked them to invoices. Since the option is unavailable, I'd recommend manually closing the estimates.

Here's how:

  1. Go to the Customers menu and then select Customer Center.
  2. Select the customer.
  3. From the Transactions tab, locate the estimates.
  4. Double-click the estimate and then click Mark as Inactive.
  5. Repeat the steps for the other transactions.

For more details about managing your estimates in QuickBooks Desktop, please see this article: Use Progress Invoicing.

Additionally, you can easily track all the outstanding estimates that your company has for all your customers. To do this, I'd suggest pulling up the Estimates by Customer report:

  1. Select Reports from the top menu bar.
  2. Choose Report Center.
  3. Enter Estimates by Customer.
  4. Click the Run icon.
  5. Set the appropriate reporting date in the date picker.

I'll be right here to continue helping if you have any other questions or concerns about managing your sales transactions. Have a great rest of the week.

Hi, MAUL21.

Hope you're doing great. I wanted to see how everything is manually closing your invoices. Was it resolved? Do you need any additional help or clarification? If you do, just let me know. I'd be happy to help you at anytime.

Looking forward to your reply. Have a pleasant day ahead!

I understand the process but its not perfect.  The only way that a an estimate that is linked to an invoice closes is if you bill it out 100%.  If you don't then it stays open which doesn't give you a true forecasting model of potential work coming down the road.
