Quickbooks Mac: Entering daily sales

I’m setting up a new ice cream shop business in QB Mac Plus 2022 and trying to solve two problems related to recording daily sales in QB Mac. 

1. All research points to entering daily sales in QB Online or QB Desktop Windows based. I’ve tried to use the sales receipt method to enter daily sales using service items for each category and payment items (cash, credit card) to zero out the sales receipt aka Daily Sales Summary. QB Mac will not allow me to use payment items like you are able to in QB Desktop. It assumes a sale with a single payment type? Creating a daily sales summary for each payment type won’t work for us because of our POS setup…my z report and Square Terminal report shows me total cash and charge amounts so I wouldn’t know how much of each item was paid for by cash or charge. It appears that if I use an Invoice vs. Sales Receipt, I can enter payment items to zero out  my totals. Any reason not to do it this way?

2. I’ve set up two sales tax groups. One for food sales that includes local F&B tax and one for retail merch and bottled beverages that wlll  include  only state and county sales tax. We are using a cash register for ringing up sales and Square Terminal to process credit card payments. When I create service items in Mac, it allows me to assign a sales tax code, but not a sales tax group. So, if I use the Sales Receipt or Invoice method to record daily sales , it calculates all items with the same sales tax rate which will not accurately reflect the sales tax collected or payable. Will I have to do a correction/adjustment manually for the discrepancy or am I missing something?

You’re right! You can use sales receipt to record daily sales in a single transaction. It includes the credit card, cash, or check payments in it. To start, let’s create a customer named Daily Sales Summary. 

 

Here’s how:

 

  1. Choose Customers > Enter Sales Receipts
  2. Select Create a Sales Receipt on the left panel.
  3. Enter the necessary information, then click Save.

I also agree with you that we can create sales tax group in the program. Upon replicating, I was also able to add a tax code. Here are some snippets for your reference:

 

 

Moreover, I’d like to know more about the tax issue you’ve encountered. Can you verify if you’ve added tax group as a line item? Any screenshots you can add would be appreciated as this will

JamaicaA, thank you for your reply. 

 

Creating a sales receipt isn't the problem. It's that in Mac, it appears that I can't enter payment items as line items in the sales receipt as you can in Windows to zero out my sales. The problem I am having in Mac is that I want to enter all sales for the day, some of which were paid for by cash, some by credit card, other by checks. What Mac wants me to do is enter a separate sales receipt for each payment method. The difficulty with that is that I don't know how much of sales of each item were paid for by each type of payment. 

 

As for the sales tax...I have created sales tax codes and sales tax groups. Sales tax codes don't (by themselves) have a tax rate assigned to them. If you look at my screenshot, some items have the tax code TAX (state, local and food and beverage tax which is7.75%) and other items are NFT (Non Food Taxable which is only 6.75%) but all items will be charged the same tax rate based on the customer's sales tax information, correct? 

 

The screenshots you provided do not resemble any of my screens so I wonder if they are from QB Online or QB Windows?

I appreciate the screenshot you've provided and thanks for getting back to us, KJM17.

 

QuickBooks for Mac does not allow us to record cash sales with multiple payment methods. We might have to enter multiple sales receipts based on payment method.

 

In terms of sales tax, I'd recommend selecting 0% sales tax and using the Tax column only for the system to calculate the sales tax for each item based on the customer's information. Please see the screenshot below.
