Apply wages to individual customers' COGS

We recently switched to QB Online, including payroll.  For the first six weeks that we used QB Payroll, we could not use QB Time, so we could not allocate employees' hours to the Customer they worked for; therefore, it's not showing in COGS for each Customer, and I need to correct that.  I need to know:

  1. How to get our hourly employees' Wages from those six weeks applied to individual Customers under COGS / Direct Labor
  2. How to get the hourly employees' Wages already entered via QB Time (already allocated to a Customer) to be switched from Wages to Direct Labor
  3. How to make sure, going forward, that hourly employees' time is  allocated to individual Customers (under Direct Labor)

Apply wages to individual customers' COGS

Congratulations on transitioning to QuickBooks Online with Payroll, YORKLYN. Helping you allot employees' hours to the Customer and recording it under COGS is my pleasure.

For your first question, correct the account into COGS/Direct Labor if you haven't generated paychecks. This way, the hourly wages will show in the appropriate account. However, you can delete and recreate payroll once you've run them via paper check. Additionally, I recommend contacting our Support Team if it's a direct deposit.

To address your second and third inquiries, we can reclassify your Payroll Settings to switch accounts and ensure they're associated with customers. I'll show you how.

  1. Go to the Gear icon and select Payroll Settings.
  2. Scroll down to the Accounting section and click the Pencil icon to edit.
  3. On the Accounting Preferences, navigate to the Wage Expenses to open a new window. Under Where do you track employee wages in your QuickBooks chart of accounts?, choose All my employee's wages are posted to one expense account.
  4. Pick the appropriate account (COGS/Direct Labor) from the Wage Account drop-down menu.
  5. Scroll down and click OK, then Done.

Once set, those Timesheets from QB Time synced to QBO for Payroll, and their future transactions will be posted to that account moving forward.
