Are you able to add additional mapping fields for bulk invoice upload? I would like to include some custom fields to invoices when I bulk upload, the options are limited.

Are you able to add additional mapping fields for bulk invoice upload? I would like to include some custom fields to invoices when I bulk upload, the options are limited.

It's nice to have you here in the community, @erika-hartvickso.

 

If you use QuickBooks Online Plus, Advanced, or Essentials, you can create your own custom fields on invoices, sales receipts, refund receipts, and credit memos.

 

Here's how to create custom fields:

  1. Go to the Gear icon, then select Account and Settings.
  2. Select Sales, then go to the Sales form content section.
  3. Click the pencil icon in that section.
  4. Enter a Name into each dialogue box beneath the heading Custom fields and select whether you want the field to be internal (only displayed in QuickBooks), or public (displayed in QuickBooks and displayed/printed on sales forms).
  5. Select Save and then Done. These fields will now appear on your sales forms.

Thank you Joseph, I understand updating the Sales Forms, I am wondering it it's possible to add additional Quickbooks Fields to the mapping during bulk upload. As an example: I have a Custom Field called: Customer ID. There is not a Quickbooks Mapping Field during the bulk upload that will allow me to upload and populate that specific field. So If I am uploading 100 invoices, I have to go into each invoice and manually populate that Customer ID field.

Hello there, erika-hartvickso,

 

QuickBooks Online can only import specific fields for each type of data. Since the columns should match the QuickBooks fields, adding the Customer ID column on the bulk import is unavailable. It'll take you a while, but you'll have to add the information for each invoice once the import is complete.

 

You can still edit the invoices at a later date to add the Customer ID. Here's how:

  1. Click Sales on the left pane.
  2. Select Invoices.
  3. Locate the invoice you wanted to edit, then click to open a window at the right part.
  4. Click Edit invoice.
  5. Make the necessary edits to the Invoice page.
  6. Save.

Did you ever get a resolution to this issue?  I have been struggling to get QBO to allow for additional custom mapping fields.  I'm on hold now.  Every time I attempt to explain my issue I feel like they have no idea what I am talking about.

I can certainly understand how an ability to add additional custom mapping fields for bulk invoice upload could be useful and have submitted a suggestion about it as of today.
 

You can also submit your own feature requests while signed in.
 

Here's how:

  1. Use the Gear (⚙️) icon.
  2. Click Feedback.
  3. Enter your suggestions and/or comments.
  4. Hit Next.
  5. Choose Skip and send message.
  6. The available drop-down menu can be used to pick an appropriate category.
  7. Select Send message.

 

Your feedback's definitely valuable to Intuit. It will be reviewed by our Product Development team and considered in future updates. You can stay up-to-date with the latest information about your product by reviewing Intuit's Product Updates page.

For the time being, with an Advanced subscription, you can create and/or edit custom invoice templates using the steps in Joseph_A's post. If you're not using a subscription that enables this feature, you can upgrade anytime.
