Chart of account balances are wrong

Hi all! 

 

My "chart of accounts" balances are wrong. This is for my raw material current asset and finished good current asset accounts.  My balance sheet report has the correct amount. When I do a quick report or bring up the register, it has the correct balance. How can I fix this?

Let's double-check some data to isolate why the chart of account pulls up an incorrect balance. 

 

When the Chart of Accounts page shows an incorrect balance, we can check for any duplicate or missing transactions. That said, you can use your Statement of Account (SOA) to know what transactions should be entered. The SOA is the basis of all your transactions.

 

If there are duplicates, you can check this reference on how to delete or enter them: Delete duplicate transactions.

Chart of account balances are wrong

Both of the links you provided want me to do stuff in the banking section. Something is not adding up in my "chart of account" pop up screen and my balance sheets. I believe my balance sheet reports are correct, but the view in the "chart of account" screen isn't.

I've come to share some troubleshooting steps to ensure all your transactions are added to the chart of accounts in QuickBooks Online (QBO). 

 

Let's perform some basic troubleshooting steps to make sure the issue isn’t browser-related. It’s possible that local internet cache files are the reason for this unexpected behavior. 

 

Let's access your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

 

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

 

If the transactions appear,  I recommend clearing your browser's cache so you can access QuickBooks with a clean slate. You can also use a different supported browser.

Chart of account balances are wrong

Is the ending register balance the same as the chart of accounts balance? That's what's expected. 

 

Also, an accrual balance sheet dated on or after the last transaction seen in the account register should have the same balance

Chart of account balances are wrong

I have the same problem. I have Quickbook desktop and my Chart of Accounts balance in my bank account is wrong. I have reconcilled my account and the balance sheet is correct but the chart of accounts listing is wrong. No duplicates entries. 

Did you ever get this corrected?

I've read the previous response and I can see that it was indeed for QBO even if the thread is for the Desktop version. I've also sent feedback to my colleague to have it updated. 

 

With regards to the bank balances, there are a number of reasons why you may see a different amount between your Chart of Accounts and Balance Sheet. This includes accounting method (cash vs accrual), edited or deleted transactions, and data damage. 

 

Let's review the Audit Trail to see if there are reconciled transactions that were deleted or edited. Here's how:

 

  1. Click the Reports at the top menu and select Accountant & Taxes.
  2. Select Audit Trail and click the Customize Report button.
  3. Go to the Filters tab and set a date range.
  4. Click OK and look for the transaction.
  5. Take note the details of the transaction, and recreate it if necessary.

 

If there are no changes, it's possible that this is caused by data damage. You can use the QuickBooks Tool Hub to check if there are issues in your company file that are causing the discrepancy. Here's how:

 

  1. Download the most recent version (1.5.0.0) of the QuickBooks Tool Hub.
  2. Open the file you downloaded (QuickBooksToolHub.exe). You can look it up in your Downloads folder or in the location you selected when you downloaded it.
  3. Follow the on-screen steps to install and agree to the terms and conditions.
  4. Double-click the icon on your Windows desktop to open the tool hub.
  5. Once opened, look for Program Problems, then select Quick Fix my Program.
  6. Start QuickBooks Desktop and open your data file.

After that check the amounts in your bank register and balance sheet you can see the same amounts.
