I am trying to edit and change my invoices, when I go into my gear icon, the option "Custom Form Style" is not there. Is this option only available with certain packages of quickbooks?
Welcome to the Community, Kharpel.
I'm here to share some steps to fix the Custom Form Style issues in QuickBooks Online (QBO).
Yes, this is available to all QBO versions.
There are times that an issue like this occurs when the system encounters a browser-related concern. We can fix this by performing some troubleshooting steps.
We can start creating a custom form on a private window. It is where we can identify if what we experience is a browser-related issue. You can use these keyboard shortcuts to open one:
If it works, we can go back to a regular browser and clear its cache. Once the cache is piled-up, it can be the reason for some unexpected concerns on the opened pages.
We also have the option to use a different browser like Mozilla Firefox, Microsoft Edge, Google Chrome, or Safari.
On the other hand, we can use the customized invoice form by either making it the default form or using it only on the invoice transaction.
Here's how you can do it. If you want to use it as the default one:
For your references, you can take a look at the following write-up to help guide you with utilizing your invoice template in QuickBooks Online as well as on what other information you can add: Customize invoices, estimates, and sales receipts in QuickBooks Online.
Feel free to get back to me if you have any additional invoice concerns or anything with QuickBooks. I'll be more than willing to lend you a hand. Have a good one.
My problem is when I click on my gear icon, the option "Custom form style" does not exist.
I have the same issue as Kharpel. The "Custom Form Style" is not listed under YOUR COMPANY within the gear icon. I've done the steps suggested here and it does not show up in an Incognito window either. It's missing as a selection within the gear. What can I do to get that option??
Hello everyone,
Thank you for keeping in touch with us about the missing option. Allow me to chime in and provide clarification about accessing the Custom form styles section in QuickBooks Online.
The tool to personalize invoices, estimates, and sales receipts are available to all QBO versions. The admin of your account will need to provide the appropriate user permission to ensure you can access this feature in the system.
If you have the regular user type, I recommend contacting your admin to adjust your access. Admins can configure the user permissions for you to customize sales forms.
For additional guidance on how to manage user roles or permissions, check out this link: Add and manage users in QuickBooks Online.
If you have the correct permission or you're the admin and having this issue, please contact our QuickBooks Support Team. They can further assist you to get back on track with managing the templates.
Our support for Plus, Essentials, Simple Start is available from 6 AM - 6 PM PT (Monday - Friday) and 6 AM - 3 PM PT (Saturday). For Advanced, any time, any day.

I am the Accountant on the QBO file and my "access" wasn't the issue. I found the solution to this issue in another thread. JonLenz posted it on 4/12/2022, so many thanks for him!! It worked and the option appeared.
Here's what he posted:
Resolution:
There is a work-around. Create a new invoice and you will be in the "new" invoice layout. On the top right below the X you should see "Old layout". Select that and navigate to some main page like your dashboard. The Custom form styles options will now be available under the Gear icon > Settings > Company.
Awkwardly you can still use the new invoice menu again by creating a new invoice and selecting "Try the new invoices" from the top right menu below the X.
Hello, I hope it's okay to hop in here. I'm a bookkeeper setting up my nonprofit client's QBO setup. On my own QBO file I do have the custom form style option but it's not on my client's QBO. Is there a user permission that I need to change? My client is showing as primary admin user and my bookkeeping service is showing as active accounting firm. Thanks!
Welcome back to the QuickBooks Community, TxCatLady. I'll share details on how the Custom form styles work in QuickBooks Online, then ensure you can see the said feature in your client's QuickBooks by performing the steps below.
Since you've mentioned that you're setting up the nonprofit QuickBooks of your client, it seems the QBO of your client is a new account. With this, please know that QuickBooks Online's workflow has recently been updated. We're sending out estimates and invoices for a makeover, as well as introducing a new experience to some customers. That said, the Custom form styles feature was disabled for a user who uses the new invoice interface, and that is the reason the said feature is missing on your client's end.
However, if your client is using the old version of the invoice and the Custom form styles is still missing, I suggest logging in to your QBO account using a private browser. This is to rule out the possibility of a webpage issue, and private browsing doesn't store local files or cache.
Use these keyboard shortcuts based on the browser you're using:
If it works in incognito, you'll have to clear the cache of your regular browser. This removes the history or log of sites so you can start with a clean slate. If the steps above don't work, use another supported browser as an alternative.
Lastly, you may refer to this article to see details on how the Sales page gives you a great at-a-glance view of the status of your sales transactions, like open and paid invoices: View sales transactions.
You can always get back to us if you have any other clarifications or questions about managing your client's end. I'm always around to help, TxCatLady. Have a great day!
Like I said I'm setting up so she hasn't actually used an invoice. How do I tell if it's the old version? Will the Custom Form Style eventually be available once the makeover has been done?
Thanks for getting back to the thread, @TxCatLady. I can share additional details about your concern and would be glad to guide you on how to check if you have the old or new invoice interface.
Some features are unavailable yet with the new estimates and invoices. Our team is working to build these features out for the best experience.
To see the experience you have, you can click the +New and select Invoice. Then, you can see New by the form title if you have the new interface. See the screenshot below for visual reference:
On the hand, I agree with you that the Custom form styles feature will be available once the renovation is over. See this article for more details: See what is new with estimates and invoices in QuickBooks Online.
I'll be adding the following articles for future reference:
Keep us updated if you have clarification or additional information about custom form styles in QuickBooks Online. We'll be around. Take care!
When I click on +New in my client's file I see "Pledge" instead of Invoice. She is a nonprofit. And I didn't see a link to a screenshot. Will notification go out when changes have been made or do I just need to keep checking?
Thanks for getting back to us, @TxCatLady.
Let me chime in and provide additional info about the new invoice and estimate experience in QuickBooks Online (QBO).
You can check if you have the new invoice layout if you go to + New and select Pledge. From there, you'll see a New pink label similar to the screenshot below.
Furthermore, I understand the urgency of having the Custom Form Styles option to personalize sales forms in QBO. At this time, we're unable to notify users when this feature will be available. For now, you can religiously check the Pledge window if the new layout is already accessible in your client's account.
Once available, you can follow the steps in this article to customize sales forms according to your preferences: Customize invoices, estimates, and sales receipts in QuickBooks Online.
You can also run sales reports in QBO to gain information about the items you buy and sell, as well as the status of your inventory.
Please use the Reply section below if you have more questions about the new invoice and estimate experience. I'd be pleased to assist you again. Stay safe, and have a great day ahead!
Thanks for getting back to me! It does say "new" so I think I'm good to go.
Thanks for the update, @TxCatLady.
