Join nowI built a Custom Summary Report
Display columns = Month; Display Columns for "Both" Qty and Amount
Display Rows = Item
The report populates beautifully with dollar Amounts for each month and totals, however the Qty populates with only zeros. Oddly, the cell entry is 0.00 if there is no dollar amount sold for an item, but only "0" (no decimals included) for each cell that corresponds to having a dollar amount sold populated. Note: if I switch to Quantity only in Display columns, the same 0.00 and 0 populate.
Can anyone help me create a Custom Summary Report for Sales that populates the Quantity selection? Thank you in advance.
Hello there, @DanBu.
I appreciate you providing details about the Sales by Custom Summary report you intend to run. The quantity of the Item list is the source of this report, hence your report only populates zeros. We can run another report called Sales by Item Detail to show the quantity of your sales transactions. Modify it to only check the Quantity, Date, and Amount columns. Please see the screenshot below.
If you want the same settings of the customized report to be available for future use, you can memorize your reports in QuickBooks Desktop . This way, you don't need to repeat the customization process.
Keep me posted if you need further assistance managing your sales reports in QuickBooks Desktop. I'm always here to assist you. Stay safe, Danbu.
@SirielJeaB Thank you for your reply. The Sales Detail Report you suggested will give me the quantity of Invoices/transactions, but I am looking for quantity of items sold, i.e.
Month1. Month2....
Item 1 17 25
Item 2 1 3
Total items 18 28
Do you have a suggestion for this?
Thank you
You're most welcome, @DanBu. I see that you want a quantity column for Items Sold on the report.
The abovementioned function is currently unavailable in QuickBooks Desktop. Adding this functionality to QuickBooks is a great idea. Having said that, I recommend providing us with feedback about this. Your helpful suggestion goes to our Product Engineers to help them enhance your QuickBooks experience. Here's how:

When I create a custom summary report and pick Month for columns, Item Detail (not Item, as I don't have that option), and include both the amount and quantity, I see both without any issue. However...
If you're reporting on inventory items, then that is likely the issue. This happens for inventory items because both the income and the COGS rows are included on the report by default because both meet the default all income/expense accounts filter - and the quantities on the two rows cancel each other out.
You can see this if you double click on one of the amounts where the quantity is "0". Here's an example simplified version of the QuickReport where I added the Qty column:
To resolve this, change the report Account filter to "All ordinary income accounts" and then the COGS rows will be eliminated from the report and you'll see the quantities as expected (that is, assuming your items' sales accounts are all income accounts and not some other type of account.)
RE: I appreciate you providing details about the Sales by Custom Summary report you intend to run. The quantity of the Item list is the source of this report, hence your report only populates zeros.
No, that's not the cause. The "quantity of the Item list is the source of this report" (whatever that means) is not the cause. The custom summary report includes by default all income and expenses, which is the cause. Which you should know.
@DanBu "I am looking for quantity of items sold"
@Mich_S "The abovementioned function is currently unavailable in QuickBooks Desktop"
Of course it is. There are several reports - right on the reports menu - that show the quantity of items sold. Which you should know.
"Having said that, I recommend providing us with feedback about this."
There is no point in asking the customer to request new functionality that already exists. Which you should know.
