Buy nowI was told to make my customers "inactive" so the list to go through was not over 4500. I, too, only need to print 50 or so statements. I painstakingly went through all of our customers, marking them, and any sub accounts as inactive. I tried to run statements again and the same message came up. I'm forced to run an AR report and use "select multiple customers". How tedious and time consuming. Who has time for that nonsense? Very displeased.
They shouldn't have changed this. There was no good reason that I can see. They could have made it so no more than 4500 statements could be created/printed at once. Then small businesses would not be suffering this stupid situation.
@ChristineJoieR RE: To address this issue, we advise reducing the number of customers to under 4500 at a time and picking each one manually.
Given that Enterprise is supposed to support an unlimited number of Customers, all of the features that support customer related activities, like statements, should also support an unlimited number of customers. Otherwise (read slowly if you need to) QuickBooks does not actually support an unlimited number of customers.
QuickBooks Desktop didn't used to be like this. Whose inane (really idiotic) idea was it to change it? That person is not good at their job.
And how exactly do you send out statements in batches? I’ve look to send A thru M and then N-Z, but do not see an option for this. Please advise
Thank you for joining the thread, danagee.
We can send out statements in batches by manually doing it. We just pick customers from A to M and send those out. Then we do the same for customers from N to Z. I'll add the details below.
Here's how:
2. Select Create Statements.
3. Enable Multiple Customers then select Choose.
4. Click each customer from A to M.
5. Hit Send. After that, do it again to customers N to Z.
Additionally, let me share a guide that shows you how to email bills, invoices, and statements in QuickBooks Desktop: Email sales forms, invoices, and statements in QuickBooks Desktop.
Furthermore, to help you create and manage repeating transactions in QuickBooks Desktop for Windows for future reference, you can refer to this article: Create, edit, or delete memorized transactions.

I have 13,000 customers, you expect me to select each one individually?
This is yet another example of Intuit employees thinking their customers are dumb and haven't thought of the most basic work arounds already.
There shouldn't have to be a workaround for this. The option to send statements to all customers is there and should be able to be used like before. I can see if someone has more than 4500 customers, that QB will only print 4500 at a time but most of us users don't have no where that many customers and most of those wouldn't be getting a statement. This is more than ridiculous for what we pay for this software.
Okay, so I am forced to select each customer individually that I need to send a statement. I have opened the "customer balance summary" in reports and customized it to show me customers that have a balance between 2.00 and 2000.00. I am seeing customers who have a deposit or a credit which in turn shows these balances that definitely don't need a statement as these amounts are not owed. Tell me how to create this report showing only "owed balances".
Thanks for sharing your concerns, @robins1962.
To see the owed balances, I recommend running an Accounts Receivable Aging Summary report. This report provides a detailed breakdown of customer balances categorized by their past due status (current, 30 days past due, 60 days past due, etc.).
Here's how you can review the report:
That should do the trick. There are a couple of other reports you can review to see more details of the transactions. Such as:
Please keep in mind that you can always customize detail reports more than you can a summary report. This is because a detailed report contains more info than a summary. For more information about customizing reports, check out Customize Reports in QuickBooks Desktop.
Don't hesitate to let me know if you have any additional questions or concerns. Take care!
Agreed but you have to remember, they hate their customers, they'll keep replying with the same info that doesn't work so they can say that they are engaged with their customers to sell new suckers into buying their product.
@robins1962 see what I mean?
They haven't actually taken the time to understand that there's a problem and that they removed an important feature.
They think WE the customers are idiots.
I wish I had $5 for every time I've called or chatted with a QB agent and realized that I know more (because I use it daily) about QB than they do. This is not to say that they aren't trying but they are "checking resourses". The same resources that I already checked BEFORE I contacted them for help. I just don't understand why this option to print statements for "all customers" has been taken away. Why didn't they put a max on the amount you could print at once? I only need to print around 50 monthly now I have to do research within Quickbooks and print a report to do that. This product is anything but Intuitive!!
I have created both these reports before. So, tell me now, how do I filter the -$$$$$ out so it shows only the balance owed to me.
I generated the Open Invoices report just now in order to create my statements. This process, from creating the report to selecting each individual customer who will be getting a statement took much longer than it should for technology to be as advanced as it is today and the cost of this software. To say that I'm disappointed in Intuit and Quickbooks is a massive understatement.
We upgraded to Enterprise 2024 recently. I am trying to print customer statements for about 120 and the error message tells me I have too many (4500) My filters don't seem to be working. Is there a solution?
Hey mgzsmith, there is not a solution. They'll say that you can individually select the customers but that is the only solution they are currently offering.
The only "workaround" I've found is to select "Customers of Type" and I can get some of the statements out but other than that you'll have to go through and make a list of the statements you want to send and then manually go through and select those customers using the "Multiple Customers" option.
Yes, there is, @mgzsmith. You can use the Verify and Rebuild Data tools to identify the root cause of this issue and fix it.
The error message appears when the maximum number of customers (4500) is reached while printing statements. This limit is to prevent any crashing when creating statements. However, since you mentioned that you only have 120 customers, here's how to Verify and Rebuild Data:
In addition, since you're only creating statements for specific number of customers but got an error, @benaaco's suggestion about choosing the Multiple Customers option would be a great workaround. This approach lets you select specific customers to avoid data issues while doing this task.
Leave a comment below if you have further questions.
See @mgzsmith , they don't have a solution but they keep posting the same thing that isn't an actual fix to the problem. @Jessavell_A hasn't actually tried doing what they're telling you to do, they expect you to memorize all 120 of the customers you need to send statements to and then manually scroll and select them.
RE: The error message appears when the maximum number of customers (4500) is reached while printing statements. This limit is to prevent any crashing when creating statements.
First, I don't think that's the actual case. Based on other posts here, it seems to happen simply when there are more than 4500 customers - no matter how many will actually get a statement.
Second, there is no reason for a crash, no matter how many statements are printed. Intuit should just fix the crash, not cripple the feature to avoid it.
RE: In addition, since you're only creating statements for specific number of customers but got an error, @benaaco's suggestion about choosing the Multiple Customers option would be a great workaround.
OK, so let me get this straight. I have 45,000 customers on my customer list and need to send statements to everyone who purchased something in the last quarter, about 750 customers. And you think that I can somehow figure out who they are and manually select them when creating statements? Really? That's your idea of a great workaround? If so, what's you're ideas of a just-OK workaround? Perhaps manually hand-writing the statements? Or is that also a great workaround?
RE: This approach lets you select specific customers to avoid data issues while doing this task.
That sounds scary! And also not anything anyone complained about, What are the scary data issues we're that we are avoiding by manually selecting customers?
I finally found an easier way but still not able to print all that needs with just one click. I choos "multiple customers" and hold the mouse to select the first half of my customer list. I print those which is around 20 and then I do the same for the second half to print the rest which is around 30. This isn't as easy as it should be but it is only a two step process to print my statements. Intuit should do better in my "pays lots of money for Quickbooks" opinion.
