Customize a report

I have a custom report that shows balances due from customers. I want to add a column to type in notes after each time I contact them that show on the report.  How do I do this?  I type the notes when I have the invoice open, but can't figure out how to get these notes to carry over to the report.

Thanks for reaching out to the Community about your concern, jshumer.

 

The functionality to carry the notes entered on a custom report is unavailable at this time. The notes will only show when you run the Customer Contact List Report since the source is based on the customer.


QuickBooks uses a concept called Source and Targets to apply accounting principles and processes, like recording transactions and displaying reports. When running a report, QuickBooks looks at individual transaction lines. If a line matches the report set, the line is added to the report.

 

As a workaround, add a Note field on your item. Then, apply this to the invoice.


Here's how:

 

  1. Go to the List menu at the top to choose Item List.
  2. Pick the item you’re working on hit the Custom Fields menu.custom field.png
  3. In the Custom Fields for the product, hit Define Fields.custom field.1.png
  4. Enter Note under Label.custom field.2.png
  5. Click OK.

 

When you create an invoice, the Note column will now on the transaction. custom field.3.png

 

These notes will show on your sales report. Here's how to build it.

 

  1. Open the Sales by Customer Detail Report.
  2. Tap the Customize Report button.
  3. Go to the Display tab and enter Notes in the field box.
  4. Click OK.

Customize a report

Good Morning, I was able to do everything as shown in your answer except that anything typed into that field still did not show up on my report.  The ability to add the field to my report was there, but not anything typed into that field.  I'm very appreciative of your help.
