Different email addresses for invoices and statement

I have multiple customer's that require invoices be sent to a specific email address for invoices only. The same customer's require statements be sent to a different email address (not the same as the invoices). Can this be automated so I don't have to enter the different emails manually? Thanks.

Different email addresses for invoices and statement

Sending statements automatically to different email addresses is our top priority, bsandall1221.

Once you create a statement, you can only send it to one recipient at a time. Sending them to different email addresses is unavailable. As an alternative, you'll have to change the email address, every time you send to a different one. You'll want to make sure to let our product team know how this feature is useful for your business. You can check out our Customer Feedback page to check if a request has already been submitted. If not, you can send feedback by clicking the Give Feedback option. I've attached a screenshot highlighted in yellow for your visual guide:

Furthermore, learn how to record invoice payments in QuickBooks Online. I've got this article for more details: Record Invoice Payments In QuickBooks Online.

Keep in touch if you have any concerns about sending invoices and statements. I'll always be right here to further assist you.

This is something that I also would like.  Oftentimes, the client requests the estimates be sent direct to them, but the subsequent invoice be sent to a different email address.  It would be ideal to have the customer set up so that there is some "email for invoices" box ticked, so that when I hit "create invoice" the alternate email address is auto-populated.

Hi there, XavierMarcel.

I understand that your clients have a different email address for each sales transaction. While this feature is unavailable in QuickBooks Online, I'd suggest sending feedback to our Product Development Team. This will us determine what functionalities our customers need the most. Here's how:

  1. Sign in to your QBO account.
  2. Click the Gear icon.
  3. Choose Feedback, then enter your product suggestions.
  4. When you're done, click Next.

In the meantime, you can manually change the email upon sending the sales forms. I'm also adding this article that will help you design and personalize your sales forms so your customers will recognize your brand: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Feel welcome to reach out to me again if you need more help in emailing your business transactions. Have a good one.

I must say, QBO's response to issues and feedback from users seems abysmal.  I see issues from years ago in some of these threads.

In todays day of workflow processing it is VERY common for customers to have a dedicated email that invoices should be sent to.  This is specifically for processing of invoices through a payables solution.  Other documents and correspondence are not recognized through that specific email address.

They really need to address some of these issues.

We need to be able to streamline using multiple emails too. Are there any updates on whether quickbooks is working to resolve this?

Hello, klcokc2010.

Thanks for joining this thread. I'm happy to point you in the right direction regarding using multiple emails in QuickBooks Online.

I haven't personally seen any info about a timeline for when the ability to use multiple emails will be available in QuickBooks Online. The best way to make your request known is to submit feedback through your account, which can be done by clicking the Gear icon in the top right corner, then select Feedback. I'll do my part and enter this info for you on my side as well.

Once you've done that you can keep an eye out for feature releases and product updates by viewing the Firm of the Future site

Please don't hesitate to reach back out if you have any other questions. I'll be here to help in any way that I can.
