An invoice is a final sale, you can not have a sale for negative money, and last I checked QB would not allow you to save a negative invoice either
Hi there, @bestassociate.
Thanks for reaching out to us. I’m here to share some information about printing invoices in QuickBooks Online.
You usually use an invoice to bill customers for products and services provided. QuickBooks won’t allow you to save and print that transaction with a negative amount.
May I know why you want to print a negative invoice balance? If a customer has a credit, you need to create a credit memo with a positive amount and send them a statement to show it.
Here's how:
1. Go to the Plus icon and select Credit Memo.
2. Fill out all required fields.
3. Hit Save and close.
To send a statement, follow the steps below:
1. Go to Sales from the left menu and choose Customers.
2. Select the customer you want to create a statement for.
3. From the Actions drop-down, click Create Statement.
4. Choose the type of statement you want to create.
5. Set the Statement Date, Start Date, and End Date.
6. Hit Save and send.
Here are helpful articles for your reference:
• Enter and apply credit memo or delayed credit.
• Create and manage statements.
That should do it. Please let me know if this isn’t quite what you need. Get back with me and we’ll take it from here. Thanks for dropping by, I’ll keep an eye out for your response.
I wish QBO would automatically ask if you want to convert a negative invoice into a refund receipt or credit memo when you try to save it.
