Does anyone know how to get rid of billable charges/unbilled charges without turning them into income? We switched from desktop to online so there is years of billables.

I'm here to explain why you're unable to get rid of unbilled charges and getting an error that your account has been deleted in QuickBooks Online, @LMcGaha.

 

Currently, there is an ongoing investigation into the unbilled charges can't be cleared. Rest assured that our Engineering Team is dedicated to working for them to implement a solution that will fix this issue.

I encourage you to contact our Phone support team. They can add you to our notification list, and you'll receive an email notification once an update is available.

 

Here’s how:

 

  1. Sign in to your QuickBooks Online company.
  2. Navigate to the (?) Help section. Which will bring up the QuickBooks Assistant window.
  3. In the Type or Ask Something field, enter your inquiry.
  4. Press Enter on your keyboard to send it.
  5. Choose Talk to a human.

I want to make sure I understand your concern correctly. Are you asking for steps to remove billable charges or unbilled charges without recording them as income using QuickBooks Desktop?

 

If yes, here are the detailed steps to remove billable charges or unbilled charges in QuickBooks Desktop without turning them into income:

 

Step 1: Turn Off Billable Expenses:

 

  1. Go to the Edit menu and select Preferences.
  2. In the Preferences window, select Time & Expenses from the left-hand menu.
  3. Click on the Company Preferences tab, uncheck the box labeled Mark all expenses as billable, then click OK to save the changes.

Step 2: Identify Unbilled Charges & Remove Billable Status from Existing Transactions:

 

  1. Run the Unbilled Costs by Job report to identify all unbilled charges.
  2. For each customer job listed in the Unbilled Costs by Job report, create an invoice:
    • Go to the Customers menu and select Create Invoices.
    • Choose the customer job from the drop-down list.
  3. Click the Add Time/Costs button at the top of the invoice window to see all unbilled entries.
  4. In the Choose Billable Time and Costs window, go through each tab (Time, Expenses, Mileage, Items) and check the Hide column for each entry. This action will remove the billable status from the original transaction.
  5. Click OK to return to the invoice.
  6. Close the invoice without saving it to avoid creating income.

Step 3: Manually Adjust Transactions:

 

  1. Go back to the Reports menu and select Jobs, Time & Mileage.
  2. Choose Unbilled Costs by Job again.
  3. Open each transaction listed in the report:
    • Double-click on the transaction to open it.
    • Uncheck the Billable box.
    • Save and close the transaction.
