Yes, striketreeservic. QuickBooks Online (QBO) allows your customers to approve estimates. I'm here to share insights about this option and lay down the steps to achieve this.

 

Currently, QBO offers a new layout for estimates, which allows your clients to review and approve the transaction once they receive it in their email.

 

Let's switch to the new interface to use this feature. Here's how:

 

  1. Go to the + New menu.
  2. Select Estimate.
  3. On the top left part of the page, click Update layout. Then, choose Update layout to confirm. If you're already on the new experience, you don't need to make any changes.

  4. Fill in the necessary fields to complete the entry.
  5. Click Save and send.

  6. Review the details, then hit Send and close.

 

Once your customer receives the estimate, they can approve and accept it. For visual reference, please see the attached screenshot below.

If the option to use the new experience is unavailable, you'll need to wait for the full release. The rollout for this feature has already started for Simple Start and Essential users. All Plus and Advanced will be migrated beginning on May 6th.

Finally, once your customer accepts the transaction, you can directly convert it to an invoice for accurate tracking. QuickBooks automatically fills in the info from the information on the estimate.

Hi, @LeadITConsulting. Yes, QuickBooks Online (QBO) provides a way to send notifications when a customer accepts an estimate. However, this requires adjusting specific settings or utilizing an alternative solution.

 

If you have a QBO Advanced subscription, you can use the Workflows feature to automatically send emails to team members, such as a Project Manager, when an estimate is accepted.

 

Here’s how to set it up:

 

  1. Go to the Gear icon.
  2. Select Manage workflows.
  3. Click on Templates.
  4. Choose the template you want to use.
  5. Set the actions (what you want to do) and conditions (when this happens) for your template.
  6. Select +add another condition if you want to add more conditions. 
  7. Select Save and turn on the workflow.
