EStimates by product line

Good morning,

We'd like to have a monthly report for our accepted estimates divided by product line, as there's one for sales.

We understand how to filter an estimates report so it only shows accepted ones, and we tried palying around with "all transactions", but we can't seem to find a way to group them by product line, which is of course very important.

I'm sure there must be a way, as it's available for sales.

(we have QBs plus so I understand there's limitations to our possibility to customise reports)

thanks

Hi there, @Matteo_S.

Currently, there are no specific reports that display estimates grouped by product and service items in QuickBooks. To obtain the necessary data, I recommend reviewing each item on your estimates individually and taking note of the items used in these transactions. You can also run and export other reports which are filtered by estimates and grouped by items on your Excel file.

I understand the potential value of having this feature for reviewing non-posting transactions, and I will certainly note this as a suggestion to enhance your experience with the platform.

In addition to this, you can directly send feedback to our developers so they can review your request and potentially include it in future updates. Here's how:

  1. Select Settings and click Feedback.
  2. Enter your comments or product suggestions. Then, select Next to submit feedback.

Moreover, you can track feature requests through the QuickBooks Online Feature Requests website.

Additionally, you can enable the Progress Invoicing feature in QuickBooks to divide your estimate into as many invoices as needed. Instead of requesting full payment at the beginning of a project, you can invoice customers for partial payments. As you complete work, add items from the initial estimate to progress invoices. This helps keep project payments organized and connected from start to finish.

If you have any further questions about reviewing your estimates in QuickBooks, please feel free to ask. I'm here to help.

Hi,

Of course reviewing estimates individually is not feasable for any decently sized company, I'm sure you understand that.
We already use progress invoicing, however we need to analyse by product type both accepted offers and invoiced items, we often receive orders that get carried out a long time later, and invoicing only happens when we ship.

Is there any report that allows me to export as excel row items all items present in estimates? So I can then manipulate that in excel

thanks

Thank you for coming back to this thread, @Matteo_S.

While we don't have a specific report that shows items' statuses (accepted or invoiced), the closest report you can pull up and customize is the Sales by Customer Detail Report.

Here's how we can run one:

  1. Go to Reports on the left side menu.
  2. On Sales and customers category, select Sales by Customer Detail Report
  3. Select Customize, then click the dropdown button on Filter
  4. Tick the checkbox on Transaction Type, then select Non-Posting
  5. Click Run Report
  6. Under Rows/columns, Group by Customers.
  7. Click the Export gear and select Export to Excel

Then, you can manipulate or customize your exported report in Excel. Meanwhile, you can review this article for additional reference: Exporting reports, lists, and other data from QuickBooks Online.

To save you time in generating reports in the future, I recommend memorizing them

I'm always available in the comment section for more QuickBooks-related inquiries. Happy bookkeeping.
