Exporting receipts for project expenses

I have QB online (Plus subscription). My team and I track our expenses through Expensify and capture our receipts and tag the expenses there. Everything gets synced to Quickbooks pretty seamlessly.

However, some of my clients require receipts with our pass-through expenses. Every expense doesn't need to be itemized on the invoice, but they do require it as support in their procurement system.

My question is if there is a way to export all the receipts for a project from Quickbooks online? I'm looking for some way to make it easy to download all the receipts needed to support my invoices without having to do it one by one.

Expensify has a way of doing that when you export a report. So that's a back up - but since it's all exporting to Quickbooks, I was wondering if there was a way to do it there.

Thanks!

Thanks for reaching out to us, krisaloma.

You'll have the option to download or export receipts added to QuickBooks Online one at a time or in bulk.

Here's how:

  1. Go to Settings or the Gear ⚙ icon.
  2. Under Lists, select Attachments.
  3. Select the checkboxes for the receipts you want to export.
  4. Select the Batch actions ▼ dropdown and then click Export.
  5. A ZIP file downloads to your computer. Open the ZIP file to get a folder with all the receipts you selected.

For additional information about the procedure, you can visit this link: Export your receipts in QuickBooks Online.

I've included a few thorough resources below that can be useful moving forward for managing expenses, matching transactions, and working with QBO:

Exporting receipts for project expenses

I am having the same issue and need to be able to download the expense receipts for a particular project and/or invoice only.  There needs to be a filter option for date range, Project/Customer or Invoice in the attachments list for this solution to be useful.

I can share some information about downloading expense receipts you've attached to your invoices and projects, @Angela101

Currently, you'll have to locate the specific expense receipts manually from the Attachments page. However, to make this process more helpful, it'd be great to have a filter option for date range, project/customer, or invoice in the attachments list. I'll be sure to take note of your suggestion. Also, I encourage you to share your feedback from within the account.

 Here are the steps:

  1. Go to the Gear icon and select Feedback.feedback.JPG
  2. Provide your product suggestion.
  3. Click on Next to submit feedback.

If you want more information on providing feedback to make the program better, you can check out this article: How do I submit feedback?.

To easily locate the invoice on the Attachments page, please take note of the invoice number. You can easily locate it under the Links column. Once the invoice has been identified, click the checkbox next to the attachment and select Export from the Batch Actions dropdown. This will enable you to export the invoice without any hassle.

Lastly, here is an article that can assist you in recording, editing, and deleting expenses: Enter and manage expenses in QuickBooks Online.

If you need further help or have questions about downloading your expense receipts, let me know, I'm always here to assist. Have a great day!

Allowing the bulk download of receipts by Class would be immensely helpful! Right now we keep all of our receipts in Google Drive and finance has to go find them individually when pulling documentation. Having them in one place with easy download access would be game changing!
