Hello there, @dananorthrup-mai. I want to ensure you'll be able to add a credit card fee to your customer's invoices in QuickBooks Online (QBO).

 

To do so, you can create a service item for credit card fees and add it to your customer invoices. Here's how:

 

  1. In your QBO account, select the Gear icon and click Product and Services.
  2. Click the New option and choose Service
  3. Enter the name in the Name field (ex. Credit card fee).
  4. Next, check the I sell this product/service to my customers section and select the expense account for the fee in the Income account dropdown.
  5. Once done, click Save and close.

 

After that, create an invoice and add the service item as another line item on the form. 

 

When finished, you can use this resource as a guide in recording customer payments in QBO: Record invoice payments in QuickBooks Online.

Thank you so much for the quick response! As a follow-up question - we offer our customer the option to pay via credit card and also ACH through QB, and they also sometimes mail us paper checks. If they choose to pay by one of the other methods where QB Payments does not charge a fee, can they opt to not pay the credit card fee?

Allow me to chime in and share further details about the processing fees when receiving payments using QuickBooks Payments.

 

Yes. If your customer chooses not to pay the credit card fee, you can manually delete the line item containing the service fee and send the updated invoice. Here's how:

 

  1.  Go to Sales and select Invoices.
  2. Look for the customer's invoice. You can also use the filter section for a quicker search.
  3. Once found, select the dropdown arrow from the Action column and click View/Edit.
  4. Select the trash bin icon on the rightmost part to delete the service fee line item.
  5. Click Save and send.

Thank you so much for the thorough reply! So just to clarify, is us modifying the already-sent invoice to remove the CC fee and re-sending it to the customer the only way for them to not have to pay the fee? Is there no way that the customer can simply opt not to pay the CC processing fee line item at the time of payment, or simply pay the invoice amount itself minus the CC processing fee?

 

And if they did pay a different amount than the invoice total due, can we then modify the total invoice amount on the already-Paid invoice to reflect the actual amount paid?'

Thank you for getting back into the Community, @dnmh. I'll share some information about how you can view the processing fees for your invoice using QuickBooks Payments.

 

Once you update the invoice in QuickBooks Online, the updated amount will reflect when the customer Previews the received invoice on their end. 

 

I’ve added screenshots for visual reference. 

 

 
 

Meanwhile, your customer can also enter the amount manually when they pay the invoice by clicking the Edit amount. And yes, you can edit the invoice in QuickBooks online even after they paid the amount.

Respectfully - this topic has questions going back multiple years (just my quick search pulled up questions on this site from at least 3 years ago). It's clearly a feature that users want, and many of us live in states where it is perfectly legal to pass cc fees on to the customer. Especially with QB continuing to increase its monthly subscription fees (with no real substantive change to the interface or functionality of the website), are you actively working to address this and any other actual user requests? I can't imagine that I am speaking for only myself when I say that I don't use these payment options because the fees are excessive for a small business. Moreover, because of this lack of functionality and the desires of my clients to be able to pay by credit card, I am actively looking for an alternative to QB. Thank you!

You are not alone. This is absolutely ridiculous to not have this as a feature and still continuing to charge us more for the service. @LollyNino_C  @JaeAnnC  @DivinaMercy_N Quickbooks needs to $h!t or get off the pot. There are enormous amounts of requests for this feature. Add the feature or I will start a petition to boycott QuickBooks and have all of our processing fees returned to the QB subscribers.

How cute, you think Intuit cares about what their users want or need.  Not in the slightest.  Worst monopoly currently enforce.
