Hello! I'm new to QB online, I have some credit card charges that I need to get into online from desktop. Can you tell me how to do that? Thank you!

I have batches of Credit Card payments that I need to apply to invoices. I have tried to do it, but I am asked to put the card number in. That would hit my customer twice! Yikes!

Hello, @dnasplatt1. Welcome to QuickBooks Community! Let me assist you today so you'll be able to record payments in QuickBooks Online.

About your concern, you can set up a credit card payment method in QuickBooks Online.

Here’s how:

  1. Go to Settings, then select All lists in the LISTS column.
  2. Select Payment Methods.
  3. Select New.
  4. Enter the name for the payment method, then select the This is a credit card checkbox, if applicable.
  5.  Note: Merchant Services won’t be able to add the payment method if you don’t select the This is a credit card checkbox. Use this if you only need to record a credit card payment.
  6. Select Save.

Alternatively, you can make bank deposits affecting the Accounts Receivable.

Here’s how to check:

  1. Go to Accounting and select Chart of Accounts.
  2. Choose the bank name where the deposit is located and click View register.
  3. Select the deposit and click Edit.
  4. On the Bank Deposit screen, scroll down to Add funds to this deposit.
  5. Change the Account to Accounts Receivable (A/R).
  6. Click Save and close.

Furthermore, I've got this helpful resource to guide you further on how to set up a credit card payment method in QuickBooks Desktop and QuickBooks Online.

Hello! I'm new to QB online, I have some credit card charges that I need to get into online from desktop. Can you tell me how to do that? Thank you!

Thanks for getting back to us, @dnasplatt1. I'll make sure that you'll be able to get rid of your old and deleted deposits in QuickBooks Online.

To get rid of the old deposits, you'll need to include these records when reconciling your account in QuickBooks Online. The system wanted to make sure that there no transactions left.

If you don't want to include these old deposits, you can simply delete them. However, doing so will affect your QuickBooks balance. I'd suggest working with your accountant so they can provide more expert advice regarding your accounting perspective.

Here’s how:

  1. Go to the Accounting menu.
  2. Select Chart of Accounts.
  3. Find the bank account you put the deposit into and select View register.
  4. Search for the bank deposit and select it to get more details.
  5. Select Delete.

With regards to your deleted deposits that are still showing up, you can also delete them.

For the detailed steps about this process, you can read through this article: Record and make bank deposits in QuickBooks Online.

Additionally, I’ll share with you this handy article to know more about the reconciling an account in QBO. On the same link, you'll find write-ups about how to review your previous reconciliations as well as how to adjust them in QuickBooks.

Keep me posted if you still have questions or concerns with your bank transactions. I'll be around for you. Have great day!
