Historical Open Sales Orders

Hello,

I have recently purchased a business that has been using QBDesktop for several years.  I am trying to compile a report that shows the dollar amount of open sales orders on any given day.

Daily, I use the Open Sales Order report to see how many $ of sales are currently in the queue. I would like to be able to compare this number to the same time period in the past. For example, using the Open Sales Order report, I can see that I have $90K in open sales as of 01/01/2023.  How would I find what the dollar amount of my open sales were for the same day in 2022? Or, what were my total Open Sales Orders as of 01/01/2022? 

Is there a way to generate this information?  It would most certainly be helpful in establishing trends and forecasting cash flow etc.

Historical Open Sales Orders

I've got your back, @JEGDOORS.

 

You can customize the date range of the Open Sales Orders report to show the dollar amount as of 01/01/2022. Here's how:

 

  1. Open the Open Sales Orders report.
  2. Go to the Dates section, then enter 01/01/2022 in both From and To fields.
  3. Click Refresh.

Once done, you can now export the report to an Excel file and compile all the data into one file. Then, convert it to the trends you want to show.

You may also want to memorize reports in QuickBooks Desktop. This way, you do not have to go through the customization process again.

Historical Open Sales Orders

This does not give me the information I need.  The report generated exactly "0" returns for Open Sales as of 01/31/2022. I know that I had more than $0 in Open Sales Orders on that date.

 

I want to be able to compare the data that shows on my Open Sales Order report to another point in time. If I pull my Open Sales Orders report, it gives a total of Sales Orders as of the report run date.  I want to see that same data for any other given date.

If you need to compare reports at a time @JEGDOORS, we will need to export the data from QuickBooks Desktop from excel. I'm here to guide you. 

 

We can customize the report date for this report, then export the data to excel. From there, we can compare the data from both files exported. 

 

Here's how:

 

1. In QuickBooks, go to the Reports menu and select Reports Center.

2. Find and open any report.

3. Select Excel on the toolbar. 

4. To create a new Excel workbook, select Create New Worksheet. If you want to update an existing workbook with the data in the open report, choose the Update Existing Worksheet.

5. Once ready to export, select OK. To open the report in Excel, you can also press Export.

Historical Open Sales Orders

Again, I am unable to compare these reports because there is no data for the date range that I entered. Per the above message, I need to know what my total open sales orders are on any given date.  

If I run my Open Sales Order report for today, I can see that there are $90K in Open Sales Orders.

I want to know what my Open Sales Orders were on any given historical date.  For example, I want to know my total Open Sales Orders on 01/31/2022.  If I run the Open Sales Order report and format as noted above, 0 entries are returned. 

I assume this is because there are no Open Sales Orders on that historical date as of run time. Is there a way to change that?

@JEGDOORS were you able to figure out how to filter the OPEN SO report to show you the Open Balance on a specific date? I am trying to do the same thing you were looking to do and I haven't been able to get it right.

Historical Open Sales Orders

You can run a Transaction List by Customer report to track historical sales order transactions, Jenny_05.

 

The Open Sales Order report displays sales orders that have not been fully invoiced yet, including those with remaining balances. If you generate a report for past open sales orders and it returns no data, this indicates that all open sales orders have either been fully invoiced or have a zero balance.

 

To track past sales orders, you can run a Transaction List by Customer report and filter it for sales orders.

 

Please note that this report does not provide a total amount for all sales orders, to automatically calculate the total amount, I recommend exporting the report to an Excel file and use a formula to sum up the amounts.

 

Here’s how you can customize the report:

 

  1. Navigate to Reports.
  2. Select Customers & Receivables and choose Transaction List by Customer.
  3. Click Customize Report.

  4. Under the Display tab, check the Amount column and click OK.
  5. Go to the Filters tab.

  6. Under FILTER, add Transaction Type and select Sales Order from the dropdown menu.
  7. Add Name to the FILTER and set it to All Customers.
  8. Select Date and specify the desired date range.
  9. Click OK.


Once done, the report will display all sales order transactions based on your selected date range. If you plan to modify past sales orders, please note that adjustments may lead to discrepancies in your reports. I recommend consulting an accountant to ensure all data is accurately recorded.
