How can i apply a banking income to a sales receipt?

I wrote a sales receipt where payment was received via square. when the square income posted to my banking, how do i attach/apply it to that sales receipt?

I'm here to guide you in matching that transaction.

 

You can go to the Banking page to match the downloaded income transaction with one you already entered in QuickBooks Online. Here's how to do it:
 

  1. Select Banking or Transactions from the sidebar menu.
  2. Click the Banking tab, then choose the tile for the account you want to review.
  3. In the For Review tab to start your review, then find the downloaded income transaction with the Match option in the Action column.
  4. Take note of the date, description, and payee, then click the transaction to expand the view.
  5. Review the matching records found in QuickBooks, then make sure that it's the correct sales receipt. 
  6. If this is the correct match, close the open transaction and click ​Match​.

How can i apply a banking income to a sales receipt?

when i go to match the banking income transaction, there is not a matching option. when i check my reports, i see the sales receipt as closed/paid via square. when i created the sales receipt, i stated that it was paid via square. and then 3 days later that money shows up in my banking as deposited via square but the sales receipt does not show up as a match-able option.

If you find no matching option from the Action column, you can click the transaction in the Banking tab to find a match manually. The following are the things that you need to check to ensure you're able to see the sales receipt you've created in QuickBooks Online:

 

  • Verify that the transaction has not been reconciled.
  • Verify the transaction was entered using the same bank account.
  • Make sure the Quickbooks Online transaction has not been previously matched to another bank downloaded transaction.

 

Also, make sure that the receipts are deposited into the Undeposited Funds account so it will show in the Match transactions window. The account will serve as a clearing house before it gets deposited to the actual bank account.

 

Once done verifying it, you can now match these transactions in the For Review tab. I'll show you how:

 

  1. Go to the Banking menu in the left pane.
  2. Select the For Review tab and then click a specific payment transaction.
  3. Choose to Find Match or Match (when QuickBooks discovered the exact transaction) option. Then a pop-up window will appear, and you'll have to check the matched sales receipt for this payment, then hit Save once done.
