How can I match a receipt scan and a bank transaction together if it doesn't automatically combine?

Welcome to Community, @fastfoodkkart.

 

I'll share the steps on how to match scan receipts. You can manually add the receipt from the transaction.

 

Here's how:

 

  1. Go to the Transactions tab. 
  2. Select the transaction you want to add the receipt to open.
  3. Under Receipt section, tap the browse link.
  4. Click Save.

 

 

 

 

After that, you'll have to categorise your transactions. It enables you to organize your income and expenses. For the step-by-step guide, check out this link: Categorise transactions in QuickBooks Self-Employed.

SO IF THEY DON'T AUTO MATCH I HAVE TO DOWNLOAD THE RECEIPT, SAVE IT TO MY COMPUTER AND THEN MANUALLY UPLOAD IT IN THE TRANSACTION IT BELONGS TO?

 

PROGRAM ENHANCEMENT IDEA...THERE SHOULD BE A WAY TO CHECK BOTH TRANSACTIONS (BANK & RECEIPT SCAN) AND COMBINE THE INFO IF THEY ARE THE SAME...

The option to automatically match a receipt scan and a bank transaction together is unavailable. Your workaround is right where we can manually upload the receipt in the transaction. Here's how:

  1. Go to the Transactions menu.
  2. Select Add receipt.
  3. Upload an image of your receipt.

QuickBooks Self-Employed (QBSE) scans the receipt and enters the details for you. It may take a few seconds. When the upload finishes:

  1. Go to the Transactions menu.
  2. Look for the receipt.
  3. Select the receipt and categorize it. If you see a Needs action message, select it to review your transaction. Correct any details and select Save.

QB, you aren't understanding what we want. We have already scanned and uploaded the receipt (and thrown it away since we uploaded it). The bank transaction has already been imported. The 2 were not automatically matched. There are now TWO duplicate transactions in QB. We want to MERGE those two transactions so the receipt AND bank transaction are a single transaction. You might say, just delete the bank transaction so you've got 1 transaction, but I don't want to DELETE the bank transaction because I reconcile my statements by account. The method you suggest to get the receipt attached takes TEN extra steps, which is irritating to say the least, since I ALREADY SCANNED the reciept.. I have to 1) find both transactions by amount, 2) Open the receipt tranasction, 3) Expand the tansacation to get access to, 4) Click Open/View the receipt, 5) Download the receipt to my computer, 6) Go back to the Bank Transaction, 7) Expand the transaction to get access to, 8) Add the receipt that I just downloaded (which already exists in QB, so that doubly annoying), 9) Save the Bank transaction with the 2nd copy of the reciept, and 10) Finally Delete the duplicate REceipt transaction. OMG please make it possible to MERGE 2 transactions so scanned receipts can be added to bank transactions.

I agree. Please allow us to check box the receipt entry and the bank entry and hit a merge button that combines the receipt to the bank transaction.

I can see how beneficial it is to automatically combine your receipt and back transaction. Rest assured, I'll let our Product Developer know about this so they'll consider adding this in future updates.

I found a slightly better way to do this than downloading the receipt and uploading it again.

 

Go to your listing of Receipts where you would review/match/etc. The "payment account" column says not found if the receipt was not matched with an incoming bank transaction. 

 

You can manually match it by clicking on the review link on that receipt. It brings up an expense page where you can select your bank account from the drop down menu. You have to also fill in the category. Then click "save and next" and you should get either a list of transactions from that bank account you can choose as a match or a button that says "match manually". 

 

It's still cumbersome, but not as bad as re-uploading the receipt.
