How can I reconcíliate my EFS Fuel Card?

The payments for loads we run every day are deposited by the Factoring Company directly on the EFS Card, once we have money on the card we use it to put fuel at the truck stop, (and always maintaining a minimum balance of $ 1000 on the EFS card) we transfer the rest to the regular checking account. My questions are the following: Should I register the EFS card as a Checking or Credit Card account in the chart of accounts? How can I avoid doubling the Income amount? Initially it is received from the factoring company to EFS Card and after the drivers used for for fuel the remaining balance is transferred to the company's checking account at the end of the day. Also, every driver has an EFS card with the same scenery.

To start, let's decide what's the best way to record the EFS card in QuickBooks. A checking account is used to hold your money for the short term, while a credit card allows you to make purchases and pay for them later. If you're unsure, I'd suggest consulting an accountant.

 

Once you're ready to set up the account, please these steps:
 

  1. Go to Settings and select Chart of Accounts.
  2. Select New to add an account.
  3. In the Account Type drop-down menu, choose an account type.
  4. Choose the detail type that best fits the transactions you want to track. 
  5. Give your new account a name. 
  6. When you're done, select Save and Close.

 

To avoid doubling the amount, I'd suggest making sure there are no duplicate transactions linked to your Income account.

 

Also, you can track the money spent on fuel as expenses. Then, record a fund transfer in the program to move the remaining amount to the regular checking account.

Thanks for your quick reply and advice, it helped me a lot. I have another question. How can I apply the payments received without duplicated.

First: I receive the money on my EFS card (and applied to as an Income) then I transfer the money to my Bank and record it again as an Income as well. Same money hitting my Income twice.

Please guide me to apply it properly, I already have my EFS card and my Checking account on my Chart of Accounts.

FYI:

I also have my checking account reconciliares already, If I record the money out as a transfer from EFS to Checking account it will affect my reconciliations
