How do I allocate materials to a project? I've already purchased the materials and recorded them as COGS but want to assign a small portion of that purchase to a project.

For example, I bought 1,000 bags of mulch and recorded the expense. Now I am pulling 50 bags of mulch for use at the Smith project (which is already set up in Quickbooks) and want to record the cost of that mulch against the Smith project. thx

Hi there, @kriscolby.

 

Let me help you allocate your materials to a project in QuickBooks Online (QBO). 

 

You have an option in QuickBooks to bill your expense to customers or projects. First, let's make sure to turn on the billable expense feature in the Account and settings. 


Since you've already created the expense transactions, let's open it again and bill the 50 bags of mulch from there. Here's how:

 

  1. Go to the Expenses menu and choose Expenses.
  2. Look for the expense transaction you've created and edit it. 
  3. Change the quantity of your first line item to 950 bags of mulch. 
  4. Add another line item for 50 bags of mulch and bill to the project. Make sure to check the BILLABLE box for this line.
  5. Review everything and when you're done, click Save and close.
