How do I create a report that lists all of my invoices but is not grouped by customer and includes both the creation date of the invoice and the paid date?

I can create a transaction list, but can't pull both the create date of the invoice and the paid date.  All other invoice lists group by customer which I don't want.

I appreciate you creating a transaction list report to have both the invoice and payment dates, smr360. And, you're right that invoices are grouped by customers.

 

It's working as design since invoices are made for customers. You can pull up the Invoices and Receive payments report as it shows both the invoice and payment date without sorting the list by customer.

 

Here are the steps you can follow.

 

  1. Go to Business overview then select Reports.
  2. Select the Standard tab.
  3. Find the Invoices and Receive payments from the Who owes you area.
  4. Use the Customize button to adjust things like the report dates and filters.
  5. Click Run report.
  6. From the Date column, you'll see when was the invoice created and paid.

 

The financial reports tell you a lot about your business. If you want to check the data outside of QuickBooks, you can export them to Excel. Or memorize the report so you won't have to go through the customization again.

Thank you Mary, but I want a much simpler report than the standard one offered.  I want just the list of invoices, not grouped by customer, that has one line per invoice and includes both the date the invoice was created as well as the date the invoice was paid.  All the data is in the database - how do I make this happen?

Hi there, @smr360. Thanks for getting back to the thread. 

 

Based on your details, the report that you want isn't available and can't be customized in QuickBooks Online. I agree with MaryLandT that the Invoices and Receive payments report is the best option for obtaining the data you need. Then, you may export it to excel as a workaround to modify the columns. You may refer to the steps provided by my MayLandT on how to run the report, and please see the screenshot below.

@smr360Looking for the exact same thing. Were you able to customize a report to get line item transaction, not grouped?

Sadly I was told by multiple folks, including a QB employee that this is not possible.  The information is in the system, but there's currently no way to pull it together this way.  Hopefully others will keep asking and eventually it can be done!

Sadly no.  I was told by multiple folks, including a QB trainer, who told me that this was not possible.  I find it very frustrating as the information is in there, and there is some sort of join table in the data structure, but QB hasn't deemed it enough of a priority to make the report an option.  Hopefully more people will ask for this and QB will understand the need for it!

Thanks for chiming in. I understand that you're having trouble finding the report you need.

 

To clarify, do you need to create a report that lists invoices (not grouped by customer) and includes the invoice and payment date? For now, there isn't a Payment date column available. The closest way to achieve your desired result is by exporting the Invoice and Receive Payments and Transaction List by Date reports to Excel. Then, manipulate the data from there. 

 

In the Invoice and Receive Payment report, you can use the payment dates listed. Follow these steps to export it:

 

  1. Go to the Reports menu.
  2. Find the Invoices and Receive payments from the Who owes you section.
  3. Modify the reporting date.
  4. Click Run report.
  5. At the top of the report, select the Export icon. Then select Export to Excel.

 

Then, you can customize the Transactions List by Date report to only display invoices:

 

  1. Search for Transaction List by Date and select it from the result.
  2. Click on the Customize button.
  3. Modify the reporting date.
  4. Go to the Filter section.
  5. Click the Transaction Type box and select Invoice from the dropdown list.
  6. At the top of the report, select the Export icon. Then select Export to Excel.

Our product development team reviews all the feedback we receive to ensure we’re meeting the needs of our customers.

 

Here's how:

 

  1. Select the Gear icon at the top, then Feedback.

  3. You'll be provided a list of suggested Help articles related to your comment. You can read through them or select Skip and send message.
  4. From the drop-down, choose the appropriate category, then select Send message.

 

You'll want to check the complete list of available reports for your QuickBooks Online version. Additionally, you can save your custom reports for future use by memorizing them.

Huh,  I went back in today to run the invoice list that I thought had the paid date associated with it, but you're right - it doesn't work.  I'm not sure whether what I did was get a view and not a report, of if the "paid date" was actually visible for invoices but it's not there now.  I'll provide feedback, again, but I know this has got to be doable since there is a related table somewhere otherwise you wouldn't be able to click on the invoice number and see the paid date on a window that slides in from the right.  

 

QB:  all we want is the ability to display invoice create date and invoice paid date on the same line in a report that could be grouped by customer, but doesn't have to be.

What I, and many other posters are requesting is a report that lists invoices for a customizable time period and includes in the same line the date the invoice was created and the date it was paid.  I would like to run it simply as a list and not grouped by customer.  

 

Despite the fact that there must be a join between an invoice create date and the invoice paid date, that the report is not available.  In order to get the information a user has to click multiple links to get the paid date.  A report based on invoices, customizable by date and even client that includes create date and paid date is what users want based on multiple requests found in this community.
