How do I find what Bill closed PO lines are attributed to?

I have a client using QuickBooks Plus. I have a Purchase Order for a vendor. Two of the lines on the purchase order are closed. The purchase order still shows open. I need to find out what bill(s) is attributed to these closed PO lines. How do I find this information? I do not see it in audit history nor can I find a report with this information. Please advise.

How do I find what Bill closed PO lines are attributed to?

Hi there, cmruble. I know how you can find bills linked to your closed purchase orders in QuickBooks Online.

 

There are a couple of ways to get your desired data. First is by running and customizing the Transaction List by Vendor report. Here's how:

 

  1. Open the Reports menu from the left pane.
  2. Enter Transaction List by Vendor from the search bar.                                                                                                                          
  3. Select the necessary filters.
  4. Click on Customize.                                                                                                                                                                                       
  5. Under the Filters drop-down, check the box for Transaction Type.
  6. Mark check the Purchase Order field.                                                                                                                                      

 

Second, you can view it directly from the PO page:

 

  1. Open the Expenses menu and select Expenses.
  2. Locate the PO you want to review.
  3. Click on the Action column and hit View/Edit.                                                                                                                                                                     
  4. From the upper-right part of the page, hit the blue hyperlink below the PO amount.
  5. You'll then see the linked bills.

How do I find what Bill closed PO lines are attributed to?

This does not tell you if a Bill hit multiple PO lines, for which lines each one hit and for what amount.  It only gives you the one amount for the entire invoice for the entire PO.  How do you see the detail?

I see the benefit of displaying how a bill applies to multiple purchase order (PO) line items, @lisapell2000.

 

Let me share some details about bills in QuickBooks Online (QBO). 


We can open the PO and we'll the lines that have been linked or closed on the bill. Here's how:

  1. Go to Vendors.
  2. Choose Transactions and click PO transactions.
  3. Open the PO and you'll see the closed lines.
