Hi there, clohallaron.

 

I know a way how you can rename the invoice exported as a pdf from QuickBooks Self-Employed.

 

When you export an invoice as a PDF in QuickBooks, the system generates the file name pdf by default. We currently don't have the option to name the file during the export process. You can, however, rename it once it has been saved on your computer. I'll show you how to do it on a Google Chrome browser.

 

Here's how:

 

  1. Go to your QuickBooks Self-Employed account.
  2. Export the invoice as PDF.
  3. At the bottom part of the browser, it will show the downloaded pdf file. Click the arrow up and then choose Show in folder. This will open the file's location.
  4. Right-click the file then select Rename.
  5. Put your desired file name, then hit Enter.

Thanks for your reply. I know how to rename a file. My question was about getting Quickbooks to automatically naming files appropriately, as it has previously, and it sounds like the answer is that the interface has for some reason been redesigned to be less convenient for users. I hope this changes.

I understand how the functionality to have QuickBooks Self-Employed (QBSE) rename files automatically would be beneficial to your business. With this, I recommend submitting product feedback to help improve your experience using the program. This way, our product engineers can consider this option for future system upgrades.

 

Here's how:

 

  1. Go to the Assistant menu.
  2. Type in the "Submit or Give feedback" keyword in the Type something field.
  3. Choose the Add a feature option.
  4. Type the feature you want in the Type something field again.
  5. Click Yes.

I have been wanting this for years. Everyone I talk to in accounting needs this. It seems like the most basic intuitive thing - to have QB save all invoices as the invoice number.  Especially when you are doing hundreds each month. I spend SOOOOO much time renaming files.

Yep I agree! The file name is so long currently, when all we want is the invoice number!

I recognize that a lot of users have the same need for an automation feature to rename exported files (invoices), PS1995. Let me provide an alternative method for modifying the file name of your invoices.

 

As previously stated by my colleague, you'll have to change the sales form name manually. I'm here to help and walk you through the process:

 

  1. Head to the Invoices menu on the left panel to view the list of your sales entries.
  2. Select the invoice you're working on from the list and click the drop-down arrow under the Action column to select Export as PDF.
  3. Go to your downloaded invoice and select Show in folder.
  4. Right-click beside the file and choose Rename.
  5. Enter the name you wish to use for the entry.
