How do I get Vendor Credits to Match to Credit Card Transactions

When our employees enter return receipts through our software, they come into Quickbooks as "Vendor Credits". However, when I try to match them to the credit card transactions, they do not show up in the list to be matched. They show up in the "Unpaid Bills Report" with the other transactions that easily match. I need to know how to get them matched up.

 

Is there a way to connect them easily so that credits are coded as smoothly as regular receipts? Or will I only be able to accomplish this with journal entries? This seems like it should be simple, but right now it doesn't appear to be.

Hi there, @dmcfelisha. I've got your back, and I'll ensure you can get through this and match transactions in your QuickBooks Online (QBO) account.

 

Before we proceed, may I ask where the vendor credit appeared in your Banking tab? Was it in the Spent column? Or in the Received column?

 

If the vendor credit is in the Received column, know that it can't be matched. You'll have to exclude it and manually create a vendor credit in your QuickBooks Online account. You'll then link the vendor credit to the bill.

In case it shows in the Spent column, here are some reasons why it won't match:

 

  • The payees don’t match
  • The amounts don't match
  • The dates don't match or is not close
  • The transaction is older than 6 months.
  • A reminder, you can still find a match when you select the Find match section
  • The bank account on the payment is not the same as the bank where the match is located
  • The payment has been reconciled
  • The transaction is already matched to something else
  • There’s a multi-currency issue with the exchange rates

You can Exclude them from the Received column, dmcfelisha.

 

Let me guide you through how to exclude transactions in QuickBooks Online.

 

  1. Go to Banking or Transactions on the left panel.
  2. Within the Banking tab, tick all vendor credits.
  3. Then, click Exclude.

 

Once done, record a vendor credit in QBO, then link it to the bill. 

 

To record a vendor credit:

 

  1. Go to + New and select Vendor credit or Receive vendor credit.
  2. Select your vendor.
  3. Depending on how you record purchases with this vendor, enter the Category details or Item details. Usually, this is the category, product, or service you’re getting credit for.
  4. Select Save and close.

I believe there may be a better way to do this.

Once you have recorded the vendor credit and you see the refund in the bank feed,  code the received transaction to the vendor and make the category accounts payable.
Then, go to the pay bills function and match apply the credit to the vendor.
