How do I let employees use receipt capture?

You can add your employees as users, @emcgee.

Adding them to your QuickBooks Online (QBO) account as users allow them to use the receipt capture feature. However, depending on your QBO plan, you can only add limited users to your account.

For more details about user limits in QBO, you can utilize this article for reference: Learn about usage limits in QuickBooks Online.

To add them to your account, you can follow these steps:

  1. Go to the Gear icon.
  2. Select Manage users.
  3. Click Add user.
  4. Select a user type.
  5. Click Next and select the access rights for the user.
  6. Enter the user’s name and email address, then select Save.

You can also read this article for more details: Add and manage users in QuickBooks Online.

In case you've reached the user limit for your account, you might want to upgrade your plan to increase your user usage limit.

In addition to this, I’m adding this link that you can use for future guidance. This can walk you through the steps in case you need to email your receipts in QBO.

If you have other concerns or questions about receipts or with your users, you can always share them with me. I’ll be around to listen and answer them for you. Have a good one!

@emcgee

Consider having an additional app with an expense management feature to integrate with your QBO account.

Quickbooks is missing a big opportunity here. A user with receipt submission access only would go such a long way. Similar to the time track only, reports only, and take payment only user role that currently exist.

I second this comment! I'm overwhelmed by the volume of receipts that I need to capture, and our employees could easily help me by using the app to upload their receipts. But I can't give them the "Limited Vendor" access that would allow them way too much access to our system. Access to just upload receipts and quickly code them (with only my secondary review needed) would be life-changing. Please get this up and going, Quickbooks!
