How do I see what time an invoice or estimate was sent?

Thanks for dropping your query here, carrie44. I'd be happy to provide details on how you can see the time an invoice or estimate was sent in QuickBooks Online (QBO).

 

In QuickBooks Online (QBO), we can view the date and timestamp of an invoice. However, only the date is displayed for estimates. Here's how to check: 

 

  1. Go to Sales and choose All sales.

  2. Find the invoice/estimate.
  3. In the STATUS column, you'll see the date when the form was transmitted.

  4. Then, click the sales form to open the activity window, where the sent date and timestamp is displayed. For estimates, only the sent date can be seen.

    The pop-up window above appears on each transaction type you select.

@carrie44 Hey Carrie, you're going to love this. So remember how with the old invoice layout all that information about what time the invoice was sent, by whom, and when it was opened by the customer was conveniently right there on the bottom of your invoice?

 

Well, that's gone now and it's not coming back! Now, the new steps are that you have to LEAVE the invoice, go to your SALES tab, SEARCH the invoice among the possibly THOUSANDS of invoices in the your system, open the EDIT TAB for the invoice (even though you're not editing it, right?), then scroll around in that small, clunky little edit window to find the Invoice Activity header, YOU'RE GOING TO HAVE TO CLICK TO OPEN THAT TOO, and then OPEN EVERY SINGLE ACTIVTY EVENT.

 

Cool huh? We thought so too months ago when we submitted feedback to Quickbooks MULTIPLE TIMES requesting that they just REINSTATE THIS SIMPLE FEATURE ON OUR INVOICES THAT WAS ESSENTIAL TO OUR WORKFLOW FOR YEARS.

 

But alas, Quickbooks knows better than we do and has communicated that this new process is much better and convenient despite proof to the contrary by the customers who actually use it.

 

So enjoy wasting your time on that lovely "improvement" on the new invoice layout!

How do I see what time an invoice or estimate was sent?

Hi, can you please see attachment and explain how I find the sent date.
When I go to All Sales and go to the invoice, the activity panel only shows "Opened"  / "Paid" / "Deposited"  dates
There is no "Created" date or "Sent" date.
Then when I go to Audit log, I see the invoice and it states "Not Sent"
However the client has received the invoice and paid.

I want to see the date the invoice was sent.
Please explain why the audit log states "not sent" 
Please explain why the activity panel does not show "Created" date and "Sent" date
Please advise where I will locate the "Sent" date for this invoice.

I appreciate your effort in sending us a screenshot and for verifying your sent invoices in the audit log, MBear. I'll do my best to assist you and ensure you'll be able to see the Sent Date of your invoices in QuickBooks Online.
 

The Sent Date status will be displayed in the Invoice Activity section when the invoice has been successfully sent to your customer. To confirm this, you can verify the details by reopening your invoice. This allows you to ensure that all information is correct and that the invoice has been dispatched properly.
 

If you find out that the invoice was successfully transmitted to your customer, let's perform basic troubleshooting steps to resolve this issue. Let's start by accessing your account through a private browser or incognito window. This is a good place to start troubleshooting since this browser type doesn't store cache.

 

You can refer to the following keyboard shortcuts below:

 

  • Google Chrome: Ctrl + Shift + N
  • Microsoft Edge: Ctrl + Shift + P
  • Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N

 

If the issue is fixed, go back to your original browser and clear the cache to improve performance. If it continues, use other supported browser to see if the problem is specific to one browser or due to other factors.

 

If you notice that your invoice was not sent to your customer, I recommend to resend it. Before doing so, double-check that you have entered the correct email address to prevent delivery issues.

 

After that, go back to the All Sales tab to see the invoice Sent Date. You can also follow the steps provided by my colleague above for more guidance.

 

Additionally, you can utilize the recurring transaction feature in QuickBooks Online to automate regular billing and payments.
