I'm here to provide some insights on how to manage invoices with multiple users in QuickBooks Online (QBO), @Harry.
Due to these platform differences, the behavior and processes may vary between QuickBooks Online and QuickBooks Desktop.
To manage the invoice effectively, multiple users must coordinate and manage their tasks simultaneously. If two users happen to work on the same task, such as creating an invoice with the same number, the system will save the changes made by the user who completes the task first. This ensures that data integrity is maintained and prevents conflicts from arising. Effective communication and collaboration among users can help streamline workflows and avoid duplication of efforts.
I've included this link once you're ready to receive invoice payments in QuickBooks Online.
I'm also adding this article if you'd like to create a more personalize sales form for your customers: Customize invoices, estimates, and sales receipts in QuickBooks Online.

@AbegailS_ RE: With the new invoice layout in QuickBooks Online, duplicate invoice numbers aren't allowed.
That's really stupid. What is wrong with the QuickBooks Online development team?
You also didn't answer the questions.
The questions are, "How do we change an invoice number?" and "In desktop version it just went to the next number. How do we duplicate the desktop solution?"
They're really short and simple and don't use any big words. Did you even read the questions?
I agree, how do I edit/change an already created invoice number?
I created an invoice. But I now have to edit the invoice number.
When I follow your directions, it says.
Go to invoices
Find the invoice you want and click edit.
Go to invoice number box/field and change it.
I CANNOT.
your directions are wrong.
I USED to be able to do that, now I cannot. WHY?
Using unique invoice numbers in QuickBooks Online (QBO) ensures transaction tracking, prevents duplications, and keeps your records orderly. Here, I'll walk you through the process of modifying the invoice number, peakind.
One possible reason you're unable to change the invoice number is that the customer transaction number feature is currently disabled in your system. This setting can restrict modifications to the invoice number. To enable the option to change the invoice number, ensure that the customer transaction number is activated. Here's how you can do it:
Alternatively, if the feature is enabled but you still cannot make any changes, you can activate the Invoice number by accessing the Customization section of your invoice.
Here's how:

@LouiseG RE: Having different invoice numbers in QuickBooks Online (QBO) ensures accurate transaction tracking, avoids duplicates, and maintains organized records.
No, it doesn't. It doesn't do any of those things. Instead it's just an overly restrictive annoyance.
There are good reasons why QuickBooks Desktop lets you do this. It puts up a warning by default, which you can turn off, but it lets you do it.
Thank you, the customer transaction button was turned off.
I don't know if this is a new feature or not as I have never had to do this before.
But it did work. (for QBO online)
Thanks
