How to fix duplicate Sales from 2021 (bit of a mess)

I'm hoping this isn't too confusing. I have a bunch of customer invoices from 2021 that posted as Sales on the books. They were promptly paid via checks usually, the checks would be applied to the invoices in QB & reduce the receivable, but the next step to post the checks as bank deposits on the books never occurred (in reality they were all deposited into the actual bank account). So all those invoice payments from 2021 are all still sitting as unposted funds waiting to be posted as bank deposits on the books. In the meantime, the real bank deposits would come thru the bank feed & a Rule was created to post all of these incoming bank deposits to Sales (Db Cash & Cr Sales). This then duplicated the sale (which was already posted in QB by the invoice) and left the invoice payments still unposted & undeposited on the books. 2021 was already reported, all I can think to do now is post all those unposted invoice payments in one bank deposit dated 1/1/22 and then do a reversal entry for all of those bank feed deposits that duplicated Sales, also dated 1/1/22.  I'd appreciate a better idea if anyone has a suggestion!

Hello there, @clw28. I have here a suggestion on how you can fix your duplicate sales from 2021 in QuickBooks Online (QBO). This way, you can keep your books updated and manage your transactions accordingly.

 

Yes, you may post all unposted invoice payments in one bank deposit and then do a reversal entry for all of those bank feed deposits that duplicated your sales. However, since all the real bank deposits come thru the bank feed and are posted through the created bank rule, you can also opt to manually delete the duplicates. Here's how:

 

  1. Go to Bookkeeping, select Transactions, then select All Sales.
  2. Find the duplicate transaction. In the Action  column, click the dropdown and select View/Edit to open the transaction. 1.gif
  3. If you want to include the date and reason you’re voiding or deleting the transaction, enter that info in the Memo or Message section. Then select Save.
  4. Click More in the footer. Then select Void or Delete2.gif
  5. Select Yes to confirm. 3.gif
