Hi there, @new2023. Let me guide you along the process of removing the monthly data on budget reports in QuickBooks Online.
By customizing the reports, we can choose to apply filters that display only the totals.
Here's how:
If you want to save your customized report, you can click the Save Customization button. It will allow you to save the report and access them again whenever you need it.
Moreover, if the information you need isn't available in the report, you can export the data to Excel. You will then be able to further customize the QuickBooks data. Visit this article for your guide: Export your reports to Excel from QuickBooks Online.
I'll be here if you need guidance with your financial reports. Just add your comment below. Have a nice day.
Thank you for the response. Here is what I would like to show:
YTD August actual versus Total Year Budget? Is that doable in QBO?
When I customize the periods YTD August, the budget amount automatically adjusts to YTD August, not TOTAL YEAR BUDGET. I would like each YTD period comparing to TOTAL YEAR BUDGET only.
Thanks.
I appreciate for adding more details about your concern, @new2023.
At the moment, QuickBooks Online doesn't support the option to run a comparison of YTD on the Budget vs. Actuals Report. For now, you'll need to run the report and compare it to the Budget Overview report for the year. I'd be glad to guide you on how.
For additional information, please see this article: Create and import budgets into QuickBooks Online.
Furthermore, you have the option to export the Budget vs. Actuals report to an Excel file. You'll need to follow the same process for the specific period you want to view. For instance, the entire fiscal year or from January 1 to December 31 for the years 2020, 2021, 2022, and 2023. I'll provide you with step-by-step guidance on how to do this. Please follow the steps below.
Here's an article that gives you an overview of transferring your reports, lists, and non-posting transactions: Export reports, lists, and other data from QuickBooks Online.
In addition, I'd suggest you send feedback to our product developers for this feature in QuickBooks Online to help improve your experience. Here's how:
You can visit our QuickBooks Online Feature Requests website to track the status of your submitted feedback.

Let me know if you have other questions about the budget report. I'll respond and provide you with the information you need from us. Take care always.
@new2023 I also run similar reports every month (YTD actuals vs annual budget). This is a bug, you are not going crazy.
My budget entries are only annual, yet QBO insists on showing YTD budget numbers even though I have customized and saved the report to show only the total. I have to select "Customize" and then "Run Report" every time--even though I have not changed anything--for the budget column to show the annual number again. (Yes, QB team, I have reported this and also chatted live with customer service about it.)
So the instruction to Customize the report with Accounts vs Total is correct, just know that you will have to click that Customize button every time because it will revert back to the YTD number each time you run the report. I keep saving it every time in the hope that it will be fixed, but so far no joy.
Hi @alex_nj thank you for the reply.
At the end, are you able to show in QB YTD Actual vs. total Annual Budget. I tried the Customized but no success. It is giving me YTD Actual vs. YTD Budget (which it is not what I want; I want to see comparison to total Annual Buget).
I can download the excel offline and work from there if it is not working in QB.
I hope QB can just leave the annual budget amounts as they are and don't make any monthly or quarterly calculations.
@new2023 Hmmm... What if you run your report using This Fiscal Year as your report period? That would show your actuals and the entire year of budget numbers.
I tried a number of different things in the Customize window to see what happened, and the results were unpredictable. But ultimately I am able to show actuals YTD vs Budget TOTAL in an Activity report. Be sure to select that Accounts Vs. Total grid, that's the most important thing. The customization will not save, though; that's the bug that QB needs to fix.
ETA: Turns out if you select This Fiscal Year as the report period, the customization DOES save. So that will work for me--yay! But I'm lucky that report will work for my needs; I hope you are too.
I have just subscribed to the QBO advanced version, hoping that the advanced version would allow me to view YTD vs annual budget......it doesn't, which is a shame. This is taking QBO too long to sort out!!!!
Thank you very much for your reply even though it is the same response sent to everyone...
I was hoping that the QBO community will be provided with a more definate position on this matter rather than what you said in your reply. I have been using QuickBooks for 18 years now, and I would like to know whether this is something QuickBooks will ever incorporate for "Reports".
Several others have complained over the years and all we get told is to provide our feedback to "Engineers". We have done that several times over the years - the question is:
1. Will this ever happen in QBO Reports - Actual vs YTD Budget vs Annual Budget?
2. If it will, what is the timeline?
3. If no, tell us so that we can begin moving to other softwares - QBO addicts really need this report!
Thank you.
Thank you for participating in this thread, MTTH.
I understand how important it is for you to run a report for Actual vs YTD Budget vs Annual Budget. We appreciate that you already provided feedback about this.
However, there hasn't been any precise information yet regarding its availability. Also, please know that future releases will still have to undergo several verifications before being implemented to ensure they're fully functional.
Additionally, here's an article you can check and learn how to download your data from QuickBooks Online: Export reports, lists, and other data from QuickBooks Online.

I have the same problem. I want the budget to remain at the annual amount and be able to compare the July YTD month-end to where we stand to the overall budget for the year.
