Thanks for reaching out to us, proman.

I'm glad to assist you with information on how to pay your vendor via ACH using QuickBooks Bill Pay. To set the payment method, you'll need to follow these steps:

  1. On your QuickBooks Online (QBO) account, go to the Expenses menu.
  2. Create a new bill or select an existing bill.
  3. Select Schedule Payment or Save and Schedule Payment depending on what type of bill you’re reviewing.
  4. Choose which bank account you want to use as your funding source and withdraw funds from.
  5. In the Payment account in QuickBooks dropdown, select the corresponding account from your QuickBooks chart of accounts to sync your payment information accurately in your QuickBooks Online account.
  6. Click Next.
  7. Choose Bank transfer (ACH) for the payment method.
  8. For the Withdrawal date, select the date when you want the funds to withdraw from your bank account, up to 90 days in advance.
  9. Select Next.
  10. Review the payment instructions, then if everything looks correct, select Schedule payment. If you need to fix anything, select Back. If you decide not to schedule this payment, you can select Cancel.

Moreover, if you subscribe for the QuickBooks Bill Pay Basic plan, you can make 5 free payments every month. On the other hand, if you choose to go with the Premium plan, you get the benefit of making 40 free payments in a month. If you subscribe to the Elite plan, you can enjoy an unlimited number of free payments.

However, if you exceed the limit on the number or amount of payments, you will be charged $0.50 per transaction for extra ACH payments in Basic and Premium plans.

Additionally, if you are eligible for QuickBooks Bill Pay, you can avail Faster ACH Payments by paying an additional $10 processing fee per payment to process payments in 1 business day (excluding weekends and federal holidays).

For more details on using this feature, check out the article: Learn about QuickBooks Bill Pay.

For future reference, here's an article for guidance on customizing a report if you want to track all vendor payments: Run a report with vendor totals.

If you have any other concerns about QuickBooks Bill Pay, feel free to let me know by leaving a comment below. I'm always happy to help. Have a great day!

We're glad you've joined this thread to address your query, Ty C. Let me route you to the appropriate support for assistance.

We're unable to check the fees associated with your account here in the Community for security reasons as we are in the public forum. Therefore, I recommend contacting our customer support team to determine why you're charged a $0.50 processing fee for every payment, even if you haven't exceeded the number of ACH payments included in your Bill Pay subscription. With their tools and expertise, they can thoroughly review this matter or raise a ticket to get this investigated when necessary.

Here's how:

  1. Access your QuickBooks Online company.
  2. Click Help, then proceed to the Search tab.
  3. Select Contact Us and pick a topic or Ask about something else to address your concern.
  4. Choose a way to connect with an expert: Start a chat or Get a callback.

Also, please note their support hours to ensure you can reach them at your most convenient time.

On the other hand, consider browsing this material if you want QuickBooks to match downloaded bank transactions with your vendor payments to automate the process: Automatically match QuickBooks Online product transactions.
