I can't move a customer from one sub account to another as I used to be able to...help?

Hello, @Shadyal

You can go to the customer's information to move a sub-customer from one parent account to another.

Let me show you how:

  1. Go to your Sales menu and select Customers
  2. Look for the customer and click the Edit button.
  3. Click the Is sub-customer checkbox and choose the parent customer from the list.
  4. Hit the Save button once you're done.

See this article for more information: Edit customer information. You can also check on the following article on how to merge your customers: How to merge accounts, customers, and vendors

I'm always here if you need further help with your customers. Take care and have a wonderful day!

Thanks for getting back to us, @Shadyal.

I'm happy to help out here, and I'd like to gain some additional insight into what's happening when you try to move the sub-customer. Are you receiving an error message? If so, could you provide me with that error message or a screenshot? Once I know more, I can give you a definitive answer.

I'll be here to help, just hit that Reply button below. Have a good one.

Thanks for providing the screenshot, @Shadyal.

Based on the error message you're receiving, moving the customer to another sub-account, you'll have to delete all the payments and invoices associated with the customer you're trying to move. This is due to you having invoices that include charges for the customer or payments from the parent that pay off the invoices. In other words, if you have any invoices or payments in the customer's name, you'll need to make changes to them or delete them. Then, you can move the customer from one sub-account to another.

Feel free to comment below if you have any other questions. I'm always here to help.

I can't move a customer from one sub account to another as I used to be able to...help?

Thank you for your help. My concern is that I've had multiple customers that I successfully moved out from being associated with a parent and now I'm unable to. It is not feasible to deleted years worth of invoices associated with a customer so that I can unassociate them with a parent.

Do you have any other ideas?

Thanks AO for commenting....my suggestion is the nerd at QB fix it back like it was which had worked well for years.....this nonsense of deleting entries is ridiculous!

What you just described is what we did for years and now it doesn't work!

Glad to have you back here in the Community, @Shadyal.

Allow me to provide some clarifications regarding moving a customer from one sub-account to another in QuickBooks Online.

If the sub-customers transactions are associated with the parent customer through the Bill with parent option, the ability to move the customer to another sub-customer isn't available. You can only move them if the customer and sub-customer has individual entries in the system.

As mentioned by my peer Anna S above, you'll need to delete all the payments and invoices associated with the customer that you're trying to move. This is to ensure that your records are accurate and to prevent issues in the future.

I can see the convenience of being able to transfer your customer directly from one sub-account to another. Please know that our developers are constantly working and considering new functionalities to be added to the system to help you run your business easier.

For your reference, I'm also adding here a link that you can check out about managing your customer's information in QuickBooks Online from adding to restoring them: Organize and keep track of your customers by adding, deleting, merging, or restoring them in QuickBo...

I'm just a post away if you have any other questions or concerns. I'll be happy to help you out. Have a great day.

BettyJane from QB says: "If the sub-customers transactions are associated with the parent customer through the Bill with parent option, the ability to move the customer to another sub-customer isn't available. You can only move them if the customer and sub-customer has individual entries in the system."

BUT, like the person who started this thread, we have ALWAYS been able to change the parent of a customer, using the Bill with parent option.  This has never been a problem.  Now QB won't let us do it.  The error message goes like this: "You cannot change who this patient bills with because there are invoices for the parent that include charges for this patient, or there are payments from the parent that pay off invoices for this patient. Delete all payments or invoices to this patient's parent which link to this patient."

This is utterly preposterous.  It would take literally years of work and create untold confusion.  THIS CANNOT BE THE SOLUTION.  A lengthy call to QB was unhelpful; the rep told me that if I didn't want to delete invoices and payments, I'd just have to create a new record for the customer and just change the name slightly (in effect, creating a Jane Doe and a Jane Doe 1, or the like)--which ALSO causes untold confusion and is preposterous!

Help!

TOTAL FRUSTRATION....

I USED TO BE ABLE TO MOVE A SUB CUSTOMER FROM ONE PARENT TO ANOTHER OR AS A STAND ALONE CUSTOMER....WHY NOT ANYMORE????  THE SOLUTIONS YOU OFFER ARE LUDICROUS.

We are starting the customers we need to move from the previous parent over as a new account...having to occasionally flip back to the previous inactive account to view history....hoping that one day you'll FIX IT BACK LIKE IT WAS and we can merge the two customers!

I agree with the others on this thread, and strongly encourage you to restore the ability to move accounts around.

Ours is a membership model which includes multiple generations and sponsorship of family members.  As members pass away or roles within the family model change, or sponsored children grow to be independent, the structure changes.  And, previously, that was one of the beauties of Quickbooks.

In my mind, the historical transactions stay put while the customer and sub-customer relationships can change.

Like others, I feel like I'm bastardizing the system to forge work-arounds for something that should be simple.

Again, I would strongly encourage you to consider a workable use case and restore the functionality.

Thank you.

i agree with the others in this thread. We are a sub for many property management companies and they change properties frequently. Sometimes you'll have two clients trade out properties. The inability to change the sub to a different parent is a nightmare and deleting our data is unacceptable. This should be a high priority fix or companies like ours will be forced to find other other options.
