Hello there. Welcome to the Community.

Let's go through some troubleshooting steps to make sure you can fix the contractor error you have in QuickBooks Online (QBO) and manage your vendor's W-9 info accordingly.

When you manually input all the W-9 info of your contractor, the system should no longer ask for additional documents. Since it still requires you to do so, you may have a browser cache-related issue in your account. Your browser saves files to load websites faster on your next visit. But over time, it'll get outdated, which can cause performance issues using QBO.

To fix this, you can perform some troubleshooting steps. Start by pulling up your QuickBooks Online (QBO) account using a private browser (incognito). Here's how:

  • Press Ctrl Shift (Google Chrome)
  • Ctrl Shift (Firefox)
  • Control Option (Safari)

Once signed in, go to the contractor's profile and check the Documents tab. You can read this article for the complete guide: Set up contractors and track them for 1099s.

If the error is removed, return to your default browser and clear its cache. This will refresh the system and remove older data that causes viewing and performance issues. However, if this matter continues, I'd recommend using other supported browsers.

However, in case the contractor error continues even after you've entered all data for your contractor's W-9 form, I encourage you to reach out to our Customer Care team.

They can create a case to trigger an investigation and guide you with a fix. To do this, here's how:

  1. Sign in to your QBO company.
  2. Go to the Help (?) menu.
  3. Select the Search tab.
  4. Click the Contact Us button.
  5. Enter a brief description of your concern in the What can we help you with? field.
  6. Select Continue.
  7. Choose a way to connect with us (Send a message/Chat or Get a callback/Callback). Contact QBO Support.PNG

Also, you may want to check out this article as your reference to learn more about what 1099 forms there are and how you can prepare for the upcoming tax season in QBO: Get answers to your 1099 questions.

Please know that I'm always ready to help if you have other W-9 concerns or questions about managing contractors in QBO. Take care, and have a great day.
